About the Victorian Institute of Sport:

The Victorian Institute of Sport (VIS) was set up to assist the development of Victoria’s best athletes. It was established in 1990 by the State Government as a private trustee company, with its Board of Directors appointed by the Victorian Minister for Sport.

The VIS is located at Lakeside Stadium, Albert Park. The VIS headquarters completed a renovation in February 2023, providing a brand new workspace for athletes and staff.  It is a non-residential institute, which utilises Melbourne’s outstanding sporting facilities, to allow high performance athletes to live and train in Melbourne, the sporting capital of Australia.

The VIS operates in partnership with National Sporting Organisations and State Sporting Associations to deliver high performance daily training environments (DTEs) for sports and athletes in support of the National High Performance Sport Strategy outcomes. Our facility and staff help prepare and support future and current Olympic, Paralympic, Commonwealth Games and World Champion athletes.

Job Description:

The role of Part-time (0.6) Receptionist at the Victorian Institute of Sport (VIS) is to manage reception duties, including warmly welcoming visitors and directing calls, while also providing essential administrative support. This involves tasks such as scheduling appointments, maintaining athlete medical files, managing emails, updating databases, and handling logistical arrangements.

The receptionist plays a crucial role in ensuring the smooth operation of the institutes day-to-day activities and creating a positive experience for staff, athletes, and visitors.

Job responsibilities may include but not limited to; 

  • Appointment scheduling for medical, physiotherapy, massage, nutrition, and Performance Lifestyle services
  • Responsible for the daily maintenance of the athlete medical files
  • Management of the VIS generic email “inbox” - forwarding emails
  • Maintain professional and tidy appearance of meeting rooms
  • In conjunction with the Facilities Manager - distribute the access swipe cards to VIS scholarship athletes
  • Update and distribute staff lists and key contact information
  • Dispatch, sort and distribute all mail
  • Update athlete contact details on AMS database
  • Perform day to day medical database entries - which record all athlete visits
  • Enter and update athlete details and scholarship dates on the ACE database
  • Operate the collection/billing system for patients treated at the VIS by consultants and look after pathology specimens filling in forms and making sure they are collected on time
Desired Skills and Experience:
  • Ability to create a positive experience for visitors, athletes, and staff through courteous and helpful interactions
  • Excellent communication and organisational skills with a high level of attention to detail
  • Proficient in using Microsoft Office programs
  • Possess the ability to work as a member of a team with minimum supervision
  • Previous experience in a receptionist or administrative support role is preferred
  • Experience with scheduling appointments, managing emails, updating databases, and handling logistical arrangement
  • Experience in a sports or healthcare environment is beneficial but not required
