About the role

We are looking for a Divisional Secretary to play a pivotal role in ensuring smooth and efficient operations for our senior HR leaders, and their teams. You will act as a representative and ambassador for the company working with the highest level of professionalism and discretion, building strong relationships with an in-depth knowledge of our organisation, its processes and systems.

This role is a great opportunity for a self-motivated and proactive team member who can support general business operations through administrative support activities.

Reporting to the General Manager, Human Resources Business Partner, you will:

  1. Provide administrative support directly to three senior HR leaders, exercising confidentiality, tact and diplomacy.
  2. Manage diary including organising meetings, events & workshops.
  3. Book travel and prepare itineraries.
  4. Use business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.
  5. Raise purchase orders, process invoices and manage credit card expenses.
  6. Receive, screen and direct incoming calls, visitors, mail and e-mail.
  7. Manage dashboards, monthly reports and support any functional or special projects.
  8. Manage end to end service requests for stakeholders.

About you

To be successfully considered for this role, you will have:

  1. Demonstrated experience in a similar senior executive support role.
  2. Excellent communication skills – verbal and written.
  3. Excellent time management and strong organisational skills.
  4. Excellent Microsoft Office suite skills and other relevant software.
  5. A proactive mindset with the ability to multitask and drive business improvements.
  6. High level of attention to detail.
  7. Proven ability to manage all aspects of event planning and execution.

Where you'll be working

This role is based in Perth, at our head office in Central Park, and working Monday to Friday.

We are one of the world's leading producers and exporters of iron ore.
