About the team

The Scholarships and Grants Team within the Members & Clients Segment Delivery Team leads the implementation of AICD’s scholarship programs. The team delivers on AICD’s Mission of strengthening society through world class governance by providing opportunities to leaders and aspiring directors to access quality governance training, regardless of their financial resources and location. The team collaborates with AICD departments and Partner Organisations to implement and manage effective, efficient and accessible scholarship and grant programs.

About the role

As the Scholarships and Grants Coordinator, you will draw on your strong administration and project coordination experience to ensure the successful implementation of the AICD Grants and Scholarships Program. Reporting to the Segment Delivery Manager, you will be an organised, process driven and detail-orientated individual and be empowered to take proactive ownership of this role to uplift the standard of administration. As the primary point of contact for queries relating to scholarships, an essential component will be cultivating relationships with internal and external stakeholders. Effective collaboration and support with the wider Segment Delivery Team as well as other key staff members will ensure you achieve deliverables and successful outcomes.

There are multiple opportunities to further develop your skill set whilst working across scholarships within not-for-profit, First Nations and diversity sectors.

Your remit will be broad and will include:

  • Support the Scholarships and Grants function by completing administrative duties with accuracy and efficiency.
  • Develop and implement best practices within the scholarship program, assist with scholarship application review and award programs, and handle inquiries.
  • Monitor the Scholarships Inbox and manage all incoming communication.
  • Maintain accurate database records on all grant proposals, projects, and scholarship applications.
  • Manage scholar records in AICD’s member database, and all scholarships Master Tracking files to inform reporting requirements.
  • Assist with maintaining a database of external grant funding opportunities.
  • Prepare, attend meetings, take minutes and follow up actions as required.
  • Provide support with reporting, presentations, analytics and drafting documentation and correspondence to a consistent quality standard.
  • Support annual financial acquittals for grants and scholarships.
Desired Skills and Experience

About you

You will have strong technical aptitude and previous relevant experience, and you will champion the AICD values of: Accountability, Respect, Excellence and Collaboration. In addition, you will also have the following:

  • Minimum of 2 years administration, project coordination or team coordination experience within a professional environment.
  • Demonstrated attention to detail in documentation, reporting, and data entry.
  • Proven experience in minute-taking, including accuracy, attention to detail, and timely completion.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to review and improve systems and processes for efficiencies.
  • Highly developed interpersonal skills including the ability to effectively interact with people from a range of backgrounds and levels.
  • Proficiency in creating engaging and visually appealing PowerPoint presentations.
  • Advanced computing skills in MS office and the use of databases with demonstrated ability to learn new systems quickly.
  • Proficiency in financial distributions, reporting, and acquittal activities
  • Strong organisational, planning and time-management skills with the ability to prioritise competing activities and take initiative
