Procurement/Project Manager for Nepean Conveyors (QLD)

POSITION PURPOSE

The purpose of this position is to achieve delivery of planned time, cost, and quality metrics for NCQ projects in line with Contract & NEPEAN Conveyors policies and procedures

KEY ACCOUNTABILITIES

Project Planning

  • Initiate pre-project risk assessment/review and communicate findings to Key Stakeholders as applicable.
  • Be involved in & where practical recommendations during tendering/estimating.
  • Facilitate handover from Sales & conduct formal scope/contract review.
  • Review existing design/build sequence aspects, communicate with Engineering & optimise, increase, or improve profitability throughout the lifetime of the project.
  • Compile and facilitate a detailed P.E.P (project execution plan).
  • Produce and report all project scheduling & resource requirements ensuring adequate float and contingency for risk.
  • Implement effective and accountable communication methods to relevant stakeholders (including but not limited to the client and key suppliers) to ensure clarity of understanding regarding the deliverables & expectations required.
  • Produce cost tracking and variation communication methods in line with both internal & external reporting & cost capture requirements.
  • Define, review & plan level of quality required in line with contract & NEPEAN policies & procedures.
  • Establish and maintain processes to manage scope over the project lifecycle, setting project quality and performance standards, and assessing and managing risk within, and across, multiple projects
  • Develop and maintain partnerships with outside resources—including third-party vendors
  • Monitor and assign resources appropriately to streamline project efficiency and maximise deliverable outputs
  • Report project outcomes and/or risks to the appropriate management channels as needed- escalating issues as necessary based on project work plans

Project Facilitation

  • Managing the main contract in the role Act as the Contractor’s Representative.
  • Acting as the single point of contact with the client.
  • Managing the kick-off meeting and overseeing it is conducted.
  • Ensuring that the project risk register is maintained, mitigated, and updated.
  • Reporting against the large project review approval monthly to the General Manager on project status and health.
  • Overseeing that the client is well informed and further build or develop relationships with customers for repeat business.
  • Committing to compliance with the approved Project Execution Plan.
  • Ensure implementation and management of design and Engineering Management Plan, working with the engineering department to ensure required engineering processes are followed and completed in line with project schedule requirements.
  • Ensure compliance with the contract and without fail to administer any extension of time and variation in accordance with contract terms.
  • Liaise with supply chain to ensure the best pricing and lead times out of preferred suppliers and subcontractors and ensure requisitions are undertaken expeditiously.
  • Implementation, management and reporting of head project schedule, utilising scheduling information received from subcontractors.
  • Maximise invoicing monthly and invoice upon immediate achievement of milestones or earlier as negotiated.
  • Monitor and measure time, cost, quality, risk, margin & cash flow without fail.
  • Coordinate all project activities in accordance with relevant legislation, regulations, standards, and guidelines.
  • Proactively bridge and rectify performance gaps in budgets or schedules before it becomes a problem.
  • Effectively liaise and build relationships with internal stakeholders in sales, engineering, operations, and supply chain.
  • Identify opportunities to optimise construction and operational costs through value engineering of contract and order specifications.
  • Ensure strict compliance to internal and NEPEAN delegations of authority
  • Ensuring conformance to the Inspection and Test Plan;
  • Project Controls and Reporting
  • Ensure purchase orders and or contract is receipted from the Project Principal c/w signatory before any costs are incurred on any project or variation.
  • Ensure project financial summary sheets are completed, accurate and delivered to the General Manager and Managing Director within 3 days of the end of the month.
  • Reporting against the large project review approval monthly to the General Manager.
  • Seek performance information and assistance from the contract administrator as required
  • Familiarise and implement process improvements and methodologies used across NEPEAN
  • Ensure the change management process is recorded, executed, and verified for accuracy.
  • Ensure a robust electronic file system is in place to guarantee the completeness of project documentation pertaining to the scope, time, cost, quality, resources, communications, risk, and procurement.

Project Close-Out

  • Ensure Completion (operational, practical, and final as appropriate) certificates are received from clients within agreed time frames and or contract.
  • Ensure a project closeout review is conducted, lessons learned are recorded and communicated to project stakeholders including where appropriate the client.
  • Ensure completed project electronic files are migrated to SharePoint for archiving

EDUCATION, QUALIFICATIONS AND EXPERIENCE

  • Min 5 years’ experience within a Project Manager role for projects >$5m; plus
  • Tertiary qualifications in a related discipline, Project Management and or Mechanical Engineering
