Job Description

The Role

We are seeking a motivated and detail-oriented Office Manager to join our team in a part-time (0.8FTE) to full-time role (37.5 hours per week), Monday to Friday with flexible hours between 9am and 5pm in our Mile End office, conveniently located just outside of the CBD.

As Office Manager, you will ensure the seamless operation and management of Adelaide PHN’s physical workspace, facilities, and administrative services. Responsible for overseeing a diverse range of key business functions, like reception, event and travel coordination, corporate support services, facilities, space planning and Executive assistance, this role is an opportunity to shape and lead an essential part of our organisation. Your leadership of our corporate services support team will be key in maintaining a positive and efficient work environment, promoting organisational effectiveness, communication, and safety.

Key Responsibilities

  • Lead, support, and co-ordinate our corporate services support team.
  • Manage day-to-day operational and administrative services.
  • Oversee facilities and fleet operations, including maintenance and improvements.
  • Implement and maintain workplace safety and security requirements.
  • Lead and implement workspace improvement projects.
  • Manage vendor relationships, administer contracts, and associated costs.
  • Work effectively across all areas of Adelaide PHN with strong linkage to other business units.
  • Promote responsible practices and initiatives for workplace sustainability.

About You

Purpose-driven and commercially savvy, you will demonstrate the capability to effectively manage the needs of a busy office. Taking ownership of office operations, your high-compliance mindset and exceptional attention to detail, communication and organisational skills will ensure seamless functionality.

With expertise in end-to-end administration, executive support, and facilities management, you will efficiently anticipate and execute tasks and optimise resource allocation. Serving as the go-to person, you maintain confidentiality and proactively address challenges. Your objective approach enables you to build positive relationships, fostering a collaborative environment.

Qualifications and experience

  • Tertiary qualification in office/workspaces management, business administration, management or related field, and/or equivalent experience.
  • Proven experience in facility and office management or administrative roles, with demonstrated skills and knowledge in office operations, systems and best practices.
  • Minimum 5 years' experience working within a fast-paced office and administration capacity.
  • Intermediate proficiency in Microsoft Office suite and familiar with modern office technology and communication tools.
