About the Role
Our client is seeking an experienced Executive Assistant to support their National Managing Partner in Australia, as well as their broader Management team. This role ensures timely, efficient, and high-quality administrative and secretarial services.
Duties
- Manage the National Managing Partner's email, calendar, and schedule.
- Handle filing, correspondence, and administrative tasks.
- Organize travel, meetings, and events.
- Manage budgets, expenses, and billing.
- Support the Management Committee with documentation and minute-taking.
- Coordinate Partner and all-staff meetings.
- Use video conferencing tools for virtual meetings.
- Assist with document creation and project management.
- Support business development and Firm events.
- Collaborate with the management team and represent them within the Firm.
The ideal candidate should possess:
- Minimum 5 years experience as a Legal Secretary or worked with a Professional Services environment
- Proven experience managing email, calendar, and schedules for senior executives
- Proficiency in handling filing, correspondence, and general administrative tasks
- Expertise in organizing travel, meetings, and events
- Strong skills in managing budgets, expenses, and billing
- Experience supporting committees with documentation and minute-taking
- Ability to coordinate Partner and all-staff meetings
- Proficiency in using video conferencing tools (e.g., Zoom, Teams)
- Experience in document creation and project management
- Ability to support business development activities and Firm events
- Excellent collaboration skills to work effectively with the management team and represent them within the Firm.
