About The Role

As an Administration Coordinator, you will be pivotal in maintaining the efficiency of office operations, directly supporting the Executive Assistant who oversees the needs of the CEO, COO, and Leadership Teams.

Your Responsibilities Will Include

  • Efficiently handle multiple calendars, schedule meetings, and manage appointments to ensure seamless time management for executives and team members.
  • Attend meetings to capture comprehensive and precise notes, ensuring all key points and actions are documented and distributed promptly.
  • Organize and coordinate all aspects of meetings, including venue booking, preparing agendas, arranging necessary equipment, and ensuring all logistical details are handled.
  • Manage travel logistics for staff, including booking flights, accommodations, and transportation, while ensuring adherence to company travel policies and budget.
  • Systematically file and manage both digital and physical documents to ensure easy retrieval and efficient record-keeping.
  • Coordinate catering for meetings and events, including menu selection, dietary requirements, and timely delivery, to ensure a smooth and professional experience.
  • Perform a variety of administrative tasks, such as answering phones, managing correspondence, ordering office supplies, and assisting with special projects to support the overall functionality of the office.

About You

We are looking for a self-starter with a proactive attitude and strong organisational skills. You should be able to think quickly and provide effective solutions. Our ideal candidate will have:

  • Proficiency in managing executive schedules, coordinating appointments, and ensuring seamless daily operations with meticulous organization and efficiency.
  • Demonstrated ability to plan and coordinate meetings, from scheduling to logistics, and manage complex travel arrangements, including booking flights, accommodations, and itineraries.
  • Keen eye for detail, capable of capturing precise and comprehensive meeting minutes, ensuring all important points and actions are documented clearly and accurately.
  • Self-motivated with the capability to work autonomously, while also being a collaborative team player who contributes effectively to group projects and team objectives.
  • A proactive attitude towards problem-solving, maintaining a positive outlook, and consistently seeking innovative and practical solutions to challenges.
