Organizational Setting

The Department of Management (MT) provides a ‘platform of services’ that serves as a foundation for the successful delivery of the IAEA’s scientific and technical programmes. Its mission statement is as follows: “MT is a partner and a business enabler that champions change and efficiency, leveraging a common purpose”. Thus, among other support activities, it assists a scientific manager in recruiting the right expert, helps a technical officer coordinate the purchase of radiation equipment, and ensures that all Board documents are translated and distributed on a timely basis to Member States.

The Division of General Services (MTGS) provides support functions to the IAEA through its four Sections, namely the Archives and Records Section (ARMS), the Commissary Management Section (CMS), the Facilities Management and General Support Section (FMGSS) and the Seibersdorf Laboratories Services Section (SLSS).

The Commissary Management Section manages the Commissary at the Vienna International Centre. The Commissary is a tax and duty-free store that is operated under the authority of the Director General of the IAEA. It was established as a self-sustaining and non-profit making operation in order to facilitate the purchase of limited quantities of consumer goods by the diplomats of Permanent Missions of Member States accredited to the UN organizations, staff members of the UN organizations based at the VIC as well as of other authorized organizations.

Main Purpose

Under the supervision of the Unit Head (Sales and Warehouse), the Shift Supervisor (Cosmetics and Perfumery) guides, manages and directs the sales operations in the Cosmetics and Boutique areas and ensures that an excellent customer service is delivered by all staff during his/her shift in the time span from 7.00 to 19.15.

Functions / Key Results Expected

Supervise the activities in the Cosmetics and Boutique sales floors.

Develop and execute visual merchandizing as well as sales strategies to enhance the sales amounts and volumes in her/his area. Pro-actively sell, promote and supervise selling of goods in the Cosmetics and Boutique areas. Keep up to date on product lines and advise customers on fragrances, fashion, styles, trends, and suitably utilizing tact and diplomacy.

Train the Sales Assistants, Retail Assistants, Cosmetic Store Workers, Promotion and Sales Support Staff on the available product lines, as well as their communication with customers. Act as the focal point for all inquiries and complaints by customers.

Create attractive displays to increase sales, promote new merchandise and advertise product launches. Oversee that merchandise is replenished on the shelves and gondolas. Organizes product and brand placement to maximize sales and customer interest.

Create weekly shift plans, including floor coverage, promotions, trainings, and supplier appointments. Enlarge and maintains the knowledge base of the Sales and Promotion staff on Commissary procedures.

Carry responsibility for the Cosmetics and Boutique Warehouse. Receive all goods, including taking over and verification against delivery papers. Report under/over deliveries, missing items and damaged goods. Arrange proper and effective storage. Oversee the accuracy of the administrative work, including Goods Received Reports and Book Stock adjustments made by Sales Assistants. Supervise and takes part in the annual inventory taking including data checks and input.

Provide the Procurement Unit with pertinent information during merchandise selection appointments, including, forecasting of fashion trends, market developments and customer feedback. Advises Procurement and Invoice Control Unit on when to markdown merchandise and what percentage of a discount should be deducted from the price.

Alternate with the other Shift Supervisors, when required to share the supervision of the Sales Floor.
