Hybrid Role - Sydney CBD ?? $80-100 p/h + Super Position Title: Senior Lease Administration Manager Function: Asset Management - Retail Reports To: National Lease Administration Manager - Retail Job Purpose: The Senior Retail Lease Administration Manager is responsible for efficiently coordinating the completion of lease contracts between tenants and owners, working closely with Lease Executives, Centre Teams, Owner's solicitors, and, if applicable, the Development Manager.
This role ensures all legal obligations are formalized, minimizing risk to owner income, and provides guidance on lease administration and retail legislation.
Key Responsibilities: Strategic: Work in line with Lease Limits of Authority and Property Management Agreements to protect the owner's position.
Promote 'Lease Administration Excellence' at relevant Centre/Function meetings.
Contribute positively to the 'retailer engagement journey'.
Financial: Manage the Solicitor Instruction process to secure owner income and ensure lease obligations are met according to approvals.
Monitor and manage liaisons with external solicitors to substantiate legal costs.
Operational: Prepare, issue, and amend letters of offer and disclosure statements.
Obtain owner approval for terms outside limits of authority.
Manage the Solicitor Instruction process for new leases, renewals, assignments, and surrenders.
Ensure minimum lease requirements are entered into the system (Yardi).
Handle tenant requests for commercial and legal amendments.
Monitor the status of lease documents with solicitors to ensure timely return.
Review signed leases and prepare for commercial sign-off.
Manage insolvency matters in collaboration with the National Lease Administration Manager and the Legal Team.
Provide assistance with acquisitions and property disposals.
People: Build and maintain long-term, mutually beneficial relationships with internal and external stakeholders.
Experience and Qualifications: Experience: Previous retail lease administration experience.
Knowledge of key financial and commercial aspects of leases and lease registers, with specific knowledge of Yardi highly advantageous.
Qualifications: Degree in a legal discipline preferred.
Minimum of 5 years' experience in the property or legal industry.
Skills and Capabilities: Ability to negotiate with and manage external service suppliers.
Working knowledge of Retail Leases Legislation to ensure compliance.
Strong commercial and legal acumen.
Meticulous attention to detail and accuracy.
Ability to work autonomously and manage time effectively.
Well-developed interpersonal skills to maintain positive relationships with stakeholders.
Timely response to requested amendments after legal assessment.
