We're seeking an experienced and talented Administrative Support Specialist to join our supportive, inclusive, friendly and collaborative team in Perth.

The Role As an Administrative Support Specialist supporting Senior Management and Engineers, you will play a pivotal role in ensuring the smooth operation of our Perth and Brisbane offices and overall office management.
This role requires a highly organised and experienced team member who can multi task, manage deadlines, coordinate meetings, handle confidential information, and oversee daily office operations.
Your ability to multitask, prioritise, and communicate effectively will be essential for this role.
What You Can Expect Email Management: You will manage email enquiries ensuring seamless coordination of meetings, preparing agendas, memos and preparatory work.
You'll anticipate needs, coordinate follow-up actions, and keep everything running smoothly.
Project work: Produce and deliver all required project related documents and drawings as needed accurately and in a timely manner.
Office Management: You'll be the face of the office, being the first port of call for all external visitors as well as serving as the main liaison with building management, facilities, oversee office stock and supplies and answer incoming calls and forward queries to appropriate team members.
Event Coordination: You will assist with events such as morning teas, training workshops, and catering.
Travel Coordination: You will handle all aspects of domestic and international travel for the team, ensuring every detail is meticulously arranged from flights to accommodations all in line with internal policy.
Stakeholder Liaison: You'll be the point of contact for colleagues, contractors, and tradespersons, as well as liaise with internal teams on client presentations.
Project Support: Your role will also involve supporting the team with projects and document control.
The Ideal Candidate To excel in this role, you'll have 3– 5 years' previous experience in an Administrative/Business Support role, ideally supporting an engineering team, as well as: Strong organisational and time management skills with high attention to detail.
Strong to advanced skills in MS Office (Outlook, Power Point, Word, Excel).
Demonstrated typing skills at around 60 wpm.
Previous file management/document control (Aconex, In Eight etc) experience would be highly regarded.
Genuinely passionate about going above and beyond in role.
Excellent communication skills, with the ability to build rapport and maintain relationships across teams.
A proactive approach and the ability to anticipate needs and prioritise tasks effectively.
