Our client is seeking a dedicated and detail-oriented Client Services Officer to join their team in Melbourne.
This role is an exciting opportunity to be part of a dynamic team, primarily responsible for the efficient management of implementing advice for advisers focusing on direct share clients within the business.
What you'll do: As a Client Services Officer, your primary responsibility will be to ensure the smooth running of all client services within the business.
You will be involved in various tasks including:
Virtual Managed Accounts reconciliation [daily/weekly]Trading for direct share clientsPreparing, generating, and uploading/sending Tax Reports and supporting documents to clients and accountants [4 months window]Liaising with client's accountants for additional tax documentation and queriesManaging access and communication email preferences for clients Security Registries - Link, Boardroom, Computershare along with Managed Fund PortalsUploading quarterly company update data and ROA's via our Client PortalMonitoring data consistency between the investment platforms and the CRMPreparing and submitting applications/amendments/withdrawals from funds and platformsAnswering client queries via phone, email and in personAdditional tasks that may arise, such as data deletion for compliance, archival file retrieval for legal/tax issuesAssisting Investment Research Analyst with Investment Committee minutes updatesQuarterly reviews for direct share clients – assist with proof reading and sendingAdhoc admin tasks as they arise [helping with FDS, mail etc]What you bring: The ideal candidate for the Client Services Officer role will bring a wealth of experience from a similar administrative business environment.
You will have a professional qualification in a Business / Finance related discipline and at least two years of experience in a role with similar areas of accountability and responsibility.
Your exceptional customer service skills, clear and concise communication abilities, and excellent attention to detail will be crucial in this role.

Professional qualification in a Business / Finance related discipline desirable (e.g.
Diploma of Business / Cert IV Business Administration / Computing)Minimum two years experience in an administrative business environment with similar areas of accountability / responsibilityCustomer service focused: committed to providing exceptional customer service across all channels – written, phone and face to faceCommunication: the ability to communicate clearly and concisely, varying communication style depending upon the audienceAttention to detail: excellent attention to detail and written skills when communicating with others, both internally and externallyEfficiency: identify and support areas of improvement for efficiency, identify and recommend best practice and process improvementsTeamwork: willingness to assist and support others as required and get on with team membersTime management/organisation: accomplish objectives effectively within time frame given, and carry out administrative duties within portfolio in an efficient and timely mannerWhat sets this company apart: Our client is renowned for their commitment to providing exceptional services to their clients.
