ASO4 Business Support Officer, Strategic Policy and External Relations
The Strategic Policy and External Relations Division (SPER) works across the Department for Education to facilitate best practice strategy and policy development and coordinate a strategic approach to stakeholder engagement.
The Division is comprised of the following directorates and business units:
Office of the Executive Director Strategic Policy External Relations National Relations and Policy Communications International Education Services.
The Business Support Officer coordinates and undertakes a range of administrative functions to support the Executive Director, Strategic Policy and External Relations.
The role coordinates high quality correspondence, briefings and submissions, and ensures the efficient management and timeliness of all correspondence through the office.
The role provides excellent client and service delivery to a range of internal and external stakeholders, and gives advice on the delivery of administrative procedures, systems and workflows which support the achievement of efficient work practices for the office, the directorate and across the broader Division.
The Business Support Officer role demands a high level of confidentiality, discretion and judgement, and is subject to periods of high intensity workload, with rapidly changing priorities, where meeting deadlines is essential.

Key responsibilities of the role:
Coordinate and manage administrative functions for the Office of the Executive Director, which supports continuous improvement and contributes to the overall achievement of Divisional goals and objectives.
Support the flow of communications through the Office of the Executive Director, including managing a general inbox and all electronic workflows, coordinating the preparation of advice, correspondence, briefings and submissions, using a proactive and systematic approach to ensure outcomes and deadlines are met.
Consult with the Executive Coordinator to ensure correct information and priorities are delivered.
Manage, implement, and support the cyclical review of business procedures and systems for the Executive Director and the Office of the Executive Director, to enable effective and responsive process and communications between the Division, department and external stakeholders.
Support the Business Manager in financial and budget forecasting and management for the Office of the Executive Director, and strategic financial planning for the division.
Support the Business Manager in the planning, management and review of systems for workforce planning, human resource management, and performance development planning for the Office of the Executive Director, along with induction and other agreed HR supports for the division.
Provide specific corporate services to the division as agreed with the Executive Director and Business Manager.
Build and sustain positive working relationships with a range of key stakeholders across the Division and department, to support and inform business needs and delivery for the Office of the Executive Director.
Liaise with the Office of the Minister, Office of the Chief Executive, the Executive Director, and other senior managers as directed by the Business Manager, to ensure urgent requirements and requests are managed in a timely and sensitive manner, including pro-actively recognising emerging issues and opportunities.
Undertake efficient file, information and records management functions including maintaining effective information storage, file tracking and retrieval systems, databases and effective information and communications systems management.
Help to maintain a safe and healthy working environment by proactively reporting incidents, hazards and injuries.
About you:
To be successful in this role, you will demonstrate the following:
Communication: High level of interpersonal skills and communication skills, which results in effective and appropriate written and verbal communication with a range of audiences, including the ability to exercise diplomacy, manage sensitive issues and information, and maintain a high level of confidentiality at all times.

Administration: Proven experience coordinating and undertaking a range of administrative functions for senior leaders within a large business unit, including coordinating responses to correspondence and briefings, with strong records management focus.

Autonomy: Proven ability to work collaboratively under limited direction as a team member and independently, use initiative and judgement to resolve problems, prioritise and coordinate workloads to meet critical timelines.

Time Management: Exceptional organisational and time management skills with the ability to work with broad direction, exercise significant levels of initiative and judgement, manage high volumes of work with competing demands with the utmost attention to detail.

Qualifications:
Desirable: Experience in the use of Objective, Basware and HR and financial reporting systems.

Special Conditions:
Need a current driver's license and be willing to drive.
Be asked to work out of hours.
Need to travel within or outside South Australia.
To achieve mutually agreed performance goals.
You must:
Have a current Working with Children Check.
Complete Responding to Risks of Harm, Abuse or Neglect - Education and Care training.
Be an Australian resident or provide evidence you have a current work permit.
