The Support People (TSP) is a leading registered NDIS provider in regional Victoria, creating an inclusive world where people with disability live the life of their choosing with our support.
This multifaceted administrative position is responsible for overseeing daily operations and office activities, providing direct support to the General Manager, and assisting with HR, Payroll, Compliance, and Billing and general office duties.
The role requires exceptional organizational skills, a keen attention to detail, and the ability to effectively coordinate tasks to ensure seamless executive operations.
Strong communication skills, discretion in handling confidential information, and the ability to prioritize and manage multiple responsibilities efficiently are essential for success in this position.
You will:Run full payroll timesheet reports and investigations fixing errors and notifying managers of follow up required.Assist with recruitment pipeline management (verifying applicants checks, references, booking interviews).Assist with staff induction management and occasional induction delivery.Conduct audits for the General Manager, HR and Compliance.Office administration including answering phones, shopping, vehicle checks and management, stakeholder management (e.g.
real estate, IT etc) and other ad hoc activities.Assistance with marketing activities.Run billing reports investigating fixing errors and notifying managers of follow up required.Assist with roster shifts for Disability Support Workers with NDIS disability clients.
This includes ad hoc rostering, maintenance aiming for rosters to be set one month in advance.What you will need:Extensive experience in office management and/or office administration is essential.Certifications in office administration or related fields are highly desired.Billing and rostering experience is highly desirable.Experience in marketing and events management is preferred.Excellent written and verbal communication: Ability to convey information clearly and handle complex communications.Highly skilled in IT applications, processes, and various software platforms.Tactful and effective liaison skills: Able to collaborate with managers and colleagues to resolve sensitive issues.Strong time management and organisational abilities: Highly developed skills in organising tasks and meeting deadlines.Attention to detail: Precision in tasks like documentation, billing, and data management.Proficiency in Microsoft Excel: Capable of using Excel for data tracking, reporting, and analysis.Multitasking and prioritisation: Ability to juggle multiple tasks, set priorities, and complete work on time.Screening and external authorisation requirements:Employee Working with Children Check.NDIS Workers Screening Check.Applicants who have lived overseas for 12 months or longer during the past 10 years are required to provide the results of an international police check.Completion of NDIS Quality and Safeguards Commission Worker Orientation Module 'Quality, Safety and You', and provision of a copy of the certificate of completion.Completion of New Worker NDIS Induction Module and provision of a copy of the certificate of completion.Current Drivers License.Your own vehicle (registered & insured).#J-18808-Ljbffr
