Role The ES Range 1-2 Reception & Office Administrator will be the first contact point for the school community and required to work as a supportive and positive member in a team environment with other office staff, Business Manager and the Principal team.
At times it may be necessary to share/rotate jobs between educational support staff depending on demand and if required.
The successful applicant will be required to:
support the community as the first point of contact, providing exceptional customer service to our students, their families and visitors undertake General Reception, Administration and components of Finance functions using the DE CASES21 system is a key focus of the role support the operation of the General Office and operation of school and business administration programs including co-curricular programs and Alumni program as well as processing of family payments and payment plans, allocation and support with CSEF funding and donations made to the NHS Thrive Fund provide first aid support to students (training will be provided) This position is not required during term breaks.
The nature of the role may require additional hours of work outside of the standard hours in which time in lieu will be provided and with notice.
The role is full time and the work day is 7.6 hours plus a minimum of 30 mins lunch break.
Responsibilities An education support class position at this range will perform tasks that are carried out in accordance with guidelines, accepted practice, and school policy under supervision and direction.
This may include coordination of other education support class staff within the work area or educational program.
An education support class position supports the educational services being provided to students but must not include duties of a teacher as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor.
Supervision of students can be required individually or in groups up to 4 in controlled circumstances and where the responsibility for students remains clearly with a teacher.
Certification and/or qualifications of up to three years can be required at this level (noting that Registered Nurse is not included at this level, the first level for which is Level 1 range 3).
A role at this range may include:
Specific support tasks to achieve outcomes.
Typically, this will involve accountability for a single function, (e.g.
ensuring data is properly maintained) or the coordination of a work area under the direction of the principal or a manager.
Assisting teachers, within an educational program, by undertaking specific support tasks or the coordination of the support function.
Supervised health and wellbeing support tasks, medical intervention support tasks, or other specialised student/teacher support roles (e.g.
enrolled nurses performing the role as described in schedule 3).
These roles require specific qualifications and/or training, including roles where further training must be undertaken from time to time.
The role is for a specific purpose, for which there will be direct accountability as opposed to support roles that are carried out by a range of staff performing routine tasks under direction.
Technical tasks that require a sound knowledge of basic technical and/or scientific principles that are used to develop and adapt work methods and make judgements where there are clear guidelines and limited options.
Routine technical support in libraries, science, and information technology would be typical examples.
An education support class position at this range commencing at the base will initially be limited to undertaking routine tasks that are carried out under close supervision and direction.
Work that carries some degree of independence will generally involve a limited number of tasks performed on a regular basis where priorities are clear, procedures are well established, and direction is readily available.
Subject to any specific qualification and/or training requirement, an education support class employee employed in this range may be progressively required to undertake coordination, specialised student/teacher support tasks, or technical tasks as experience in the role is gained.

This role involves close interaction with a wide range of parents, students and staff.

General Administration Receive visitors to the school and manage enquiries made to the general office in relation to school business.
Respond to and/or direct all communications made to and within the school appropriately.
Under the direction of those to whom you report, undertake duties that might include: Providing advice and information to community members in relation to office administration functions, enrolments, purchasing, financial operations, accounts, keys, attendance, filing, receipting payments, copying and secretarial work, CASES, Compass operations, mail, preparation of data, family transactions, reports and information.
Provide support with enrolments, checking documentation handed in at the front office and where required processing of transition documentation from other schools.
Provide first aid support commensurate with level of training in this area when required (training will be provided).
Liaise with colleagues to support the efficient operation of day-to-day activities, excursions, and events.
Provide support for school organised events including organisation of catering.
Liaise with external stakeholders including relevant financial institutions and the DET as required to support staff and families.
Administration of student late and uniform passes when required.
Mobile phone confiscation administration, support and follow up.
Responsibility for maintenance and ordering of stationery, school branding materials, paper and photocopier supplies.
Maintenance and troubleshooting issues and servicing pertaining to school photocopiers.
Provide support in the administration of co-curricular programs, including follow up of outstanding payments, ordering and preparation of activities and camps and any ordering requirements of the program.
Processing of family payments, including Compass, credit card, cash and BPay.
Including accurate processing and monitoring of family charges and following up on outstanding payments, including payment plans.
Accurate processing and monitoring of Camps, Sports, Excursions Funds (CSEF) and family credits.
Balancing daily receipting and ensuring accurate record keeping.
Administration of Alumni program mailouts and support events as well as management of the Alumni database and processing of memberships and donations.
Implement strategies to ensure effective administration and financial procedures.
Commitment to and development within a multi-skilled office environment.
Undertake other duties as may be deemed necessary by the Principal and Business Manager.
All duties require accuracy in record keeping, attention to detail and require confidentiality to be maintained.
