Job Description (Roles and Responsibilities)
The British Embassy in Vienna is part of a network, representing British interests overseas. We are looking for a Post Security & Operations Manager.

Working to the Regional Overseas Security Manager (ROSM) and the Head of Corporate Services, the jobholder will be responsible for the physical security of the British Embassy building and official/private residences, as well as providing security advice to all staff and dependants of UK diplomats working at the Embassy, the UK’s Mission to the UN and the UK’s Delegation to the OSCE. The role will involve the management of an established and capable team of security officers and drivers. The jobholder will be responsible for giving clear, concise advice on a range of security, logístical and transport topics, commensurate with their position, as per policy and procedure.

The jobholder will be responsible for the efficient management and scheduling of drivers and vehicles to meet the operational demands of post. This will include prioritising VIP visits. This position requires excellent fleet management skills to ensure maintenance scheduling and repairs are completed in an efficient manner and to the highest standards. The role also requires the incumbent to display excellent financial management of the transport budget.

**Main duties and Responsibilities**:

- Day-to-day management of security and driving team, including security team shift roster and drivers’ schedules;
- Champion continuous L&D to enable all officers to fulfil their potential learning and development of the security and driving team.
**Security**:

- Management of a security team who are responsible for security checks, including physical searches of personnel and vehicles. Monitoring of CCTV, Operating UHF radio network, patrolling and security regulations.
- Conduct regular reviews of security policy and recommend amendments or updates to the ROSM.
- Management of security equipment to include inventory checks, planned maintenance and testing schedules and correct use or deployment of the equipment.
- Support the Regional Overseas Security Manager with local staff security clearances.
- Residential property security surveys.
- Management of security exercises, drills and alarm tests.
- Regular written and oral communication to staff on security issues.
- Assisting with visits and events, including occasional field deployments.
- Liaison with security managers at other diplomatic missions in Vienna.
- Liaison with the police and relevant local authorities on security matters.
- Receive all visitors and members of the public in a professional and courteous manner.
- Ensure diplomatic bags and mail are received and accounted for in line with policy.
**Transport**:

- Manage a team of three drivers. Working with private offices, assign and explain their work in advance in order to meet the Embassy transport requirements smoothly.
- Supervise journey sheets and ensure that they are maintained correctly. That all fuel & oil changes are recorded against the applicable vehicles and that the journey sheets are submitted to the transport office by end of each week.
- Create, manage and supervise transport plans for VIP visits.
- Purchase/dispose of vehicles and vehicle parts as and when needed through the FCDO internal accounting system, keeping higher management well informed in advance.
- Responsible for ensuring scheduled or emergency maintenance of the official fleet.
- Understand and appreciate customer requirements and quality standards. Meet and exceed customer expectations.
- Maintain an excellent working knowledge of, and work proactively and in accordance with, all current and anticipated legislative requirements and best practice relevant to the transport.
- Assist UKB staff on registering and de-registering personal vehicles utilising a knowledge of Austrian law.
**Health and Safety**:

- Promote and adhere to Embassy policy, procedure and legislation, including but not limited to aspects relating to health and safety.
- Other tasks as requested by the ROSM/HCS.

Essential qualifications, skills and experience
- Proficient written and spoken English (C1 level according to the Common European Framework of Reference for Languages);
- Intermediate written and spoken German (B1 level according to the Common European Framework of Reference for Languages);
- Excellent operational planning and management skills;
- Can work as an individual and within a team;
- Knowledge of security policies and procedures and physical security standards to UK and relevant Austrian laws & norms;
- Knowledge of fleet and transport policy and procedures;
- Local geographical knowledge to a high standard;
- Computer literate especially in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
