The Head of Desk – Meeting Management (all genders) leads the strategic and operational coordination of high-level meetings for Management, Supervisory Board and its Committees. The role ensures quality, compliance, and efficiency in all meeting-related processes, while actively contributing to agenda setting, documentation, and follow-ups. As a key liaison between management and stakeholders, the HoD fosters team collaboration, assigns tasks, and drives digital and professional process improvements.

Your Tasks
  • Leading and coordinating the meeting management team, ensuring smooth operations, clear communication, and high-quality deliverables across all meeting-related activities
  • Overseeing strategic meeting planning and governance, including agenda setting, documentation, compliance with regulatory requirements, and stakeholder alignment
  • Driving process optimization and digital transformation, enhancing workflows, ensuring tool quality, and supporting the professional development of team members
  • Actively contributing to high-level meetings, preparing or reviewing critical documents, managing follow-ups, and supporting sensitive or time-critical cases hands-on
Your Background
  • Business administration / legal background is of advantage
  • Extensive experience in meeting or committee management, ideally in a board office or regulatory environment, with a strong understanding of governance standards
  • Leadership experience in team coordination or functional management, with excellent organizational and communication skills
  • Technologically proficient, with strong skills in MS Office, digital board portals, and workflow tools, and a passion for digital innovation
  • Strategic and resilient, with a structured, solution-oriented mindset, high discretion, and the ability to engage confidently with C-level stakeholders
  • Fluent in German and English
