About the role Provide efficient, supportive and comprehensive administrative services to Community Services Management team. This traineeship aims to develop the skills, knowledge and experience required for effective administration within the aged care environment, in accordance with Barunga Village’s quality assurance standards, policies and values. Summary of position Support staff, House Members and visitors by undertaking a variety of administrative, clerical and reception duties. The role assists with documentation, data entry, filing, customer service, coordination of daily office tasks and other administrative functions as directed. Responsibilities of the role: Provide efficient administrative support to management and staff in accordance with Aged Care Standards and organisational policies. Assist with document and data control, including archiving superseded documents and issuing updated versions. Maintain accurate electronic and manual filing systems. Prepare documentation, packs and resources to support departmental activities. Conduct data entry and update records as required. Provide reception and switchboard services in a professional and courteous manner. Greet visitors, House Members and families, providing assistance or referral where required. Liaise with clients regarding scheduled services and update records accordingly. Order and maintain office supplies and equipment. Coordinate mailouts and associated administrative services. Support the coordination of daily office operations and related services. Any other duties commensurate with the employee’s skills and experience as directed by the Operations Manager. Quality improvement: Recognise the need and participate in quality activity programs relevant to the position's work area. Be familiar with and strive to achieve the Quality and Safety Standards applicable to the position under the Aged Care Act 1997. Be familiar with and strive to achieve the standards, requirements and criteria of the Retirement Villages Act applicable to this position. Any other duties commensurate with the employee’s skills and experience as directed by the Chief Executive Officer. Work, health and safety: Adhere to defined work, health and safety policies and procedures related to the work being undertaken in order to ensure own safety and that of others in the workplace. Reporting of any possible hazards in the workplace and community. Reporting of any 'near misses' and participation in incident/accident investigations as necessary. Person specifications: Essential qualifications and experience Certificate III in Business, Business Administration (or willingness to work towards as part of the traineeship) Interest in developing administrative skills within an aged care environment. Desirable qualifications and experience Previous experience in customer service or administration (not required but advantageous). Core competencies: Proficient with computer use. Effective communication and advanced literacy skills. Proficient time management. Initiative to anticipate certain situations. A genuine empathy with the elderly. Ability to work well in a team, use initiative and follow instructions as provided. Advanced literacy skills. Conditions: Must provide a NDIS worker screening clearance that is dated not more than five years old to enable the assessment of whether the employee is suitable to provide care under the Aged Care Act. This clearance must remain updated by the employee during the contract period. Must comply with Barunga Village's immunisation policies and procedures at all times. Must sign a statutory declaration to identify that have never committed any serious criminal activity outside of Australia. Must not be included on the aged care banning order register. Must comply with Barunga Village’s Code of Conduct. Special conditions: Some out of hours work may be required, at the direction of the Operations Manager.
