About the Role We are seeking a detail-oriented, reliable, and long-term Driver Invoice & Administration Assistant to join our Melbourne team. This role plays a key part in supporting daily distribution operations and financial documentation. You will be responsible for checking driver invoices, managing COD payments and delivery paperwork, maintaining administrative records, and processing data in our ERP system (currently PRONTO, transitioning to SAP). Key Responsibilities 1. Driver Invoice & Delivery Documentation Receive and verify daily invoices, cheques, and cash returned by drivers Check delivery quantities, returns, shortages, and discrepancies, ensuring accurate records Process driver-related data using ERP systems (PRONTO; SAP in future) 2. Document & System Management Verify COD (Cash on Delivery) customer payments and confirm receipts in group channels Ensure all PODs (Proof of Delivery) are completed, scanned, and filed correctly Organize daily driver paperwork, delivery logs, and departure records Scan and save operational documents, customer files, and reconciliation records 3. Key & Asset Management Safely manage delivery vehicle keys Maintain secure records for customer store keys (where applicable) 4. Administrative & Finance Support Assist the finance team with basic data entry Answer phone calls and take messages when required Skills and Experience Experience in administration, warehouse admin, logistics admin or basic finance is highly regarded Familiarity with ERP systems preferred (PRONTO experience advantageous; SAP beneficial) Proficient in Microsoft Office, especially Excel and Word Strong attention to detail and ability to manage large volumes of paperwork Good communication skills and ability to collaborate with drivers, warehouse, and finance teams Comfortable working in an afternoon/evening shift environment Willing to work long-term and continue after our site relocation to Laverton North next year How to Apply We would love to hear from you Apply now via SEEK with your resume and cover letter.
