Primary objective You will manage and provide a high-level ministerial liaison and secretariat service for the NT Fire and Emergency Services, including effective and timely flow of high-quality information and communication with the Minister’s office, Cabinet office and other government agencies. You will provide support and back-up to the Director Secretariat position, and the role may involve supervision of junior team positions in the future. Context statement The Secretariat unit coordinates ministerial liaison and executive support services for the Chief Executive and agency Executive, serving as the link between the agency and the Office of the Minister for Fire and Emergency Services. The unit is responsible for recording, allocating, coordinating, monitoring, and maintaining quality control of all ministerial, whole-of-government, Cabinet and ministerial council related advice and documentation. The Secretariat delivers agency-wide advice and training on preparing, handling and procedures for ministerial, Cabinet, and parliamentary documentation. Key duties and responsibilities Lead the coordination, quality assurance and timely delivery of all ministerial, Cabinet and parliamentary documentation for the agency. Coordinate preparation and review of high-level briefs, submissions and correspondence, ensuring accuracy, consistency and alignment with government priorities. Provide authoritative advice on Cabinet and ministerial protocols, manage whole-of-government requests and reporting requirements, and maintain effective communication between the agency, the Minister’s office and other agencies. Drive process improvements, assist with mentoring and training staff on ministerial and Cabinet procedures, and support executive governance and decision-making processes. Selection criteria Essential Sound knowledge and understanding of ministerial, Cabinet and legislative processes, and the structure, operations and protocols of government, including public administration and political processes, to provide accurate advice and effectively support informed decision-making. Sound understanding of and demonstrated ability to build and maintain high level, influential and collaborative networks, including with senior departmental officers, the Minister’s office, other government agencies and external stakeholders to support the achievement of organisational and government priorities. Highly developed interpersonal, written, and verbal communication skills to influence and negotiate successful outcomes. Proven ability to manage pressure and maintain flexibility, adaptability and attention to detail in a high workload, process driven environment. Proven ability to take a proactive and strategic approach to complex and varied issues – analysing situations, identifying risks, problem solving and finding effective solutions. High-level political acumen and experience in dealing appropriately with matters of a confidential and sensitive nature. Desirable Willingness to work extended hours if required.
