Our practice is growing, and we’re looking for an Adviser Assistant to support our busy Primary Adviser – that’s me We’re a fun, family-friendly financial planning practice based in Tuggerah, proudly supporting around 100 ongoing clients. We operate on a 9-day fortnight and are seeking a casual/part-time team member to help manage client relationships, prepare reports and advice documents, and assist with overall workflow. Job Summary The Financial Advisor Assistant supports the Primary Advisor in delivering high-quality financial planning services to our clients. This role involves administrative support, client relationship management, data entry, account maintenance, and preparation of financial documents and reports. The ideal candidate is detail-oriented, organised, and committed to providing excellent client service. Key Responsibilities Client Service & Communication Prepare client meeting materials, such as financial statements, reports, and investment summaries. Schedule client meetings, manage advisor calendars, and confirm appointments. Maintain strong, professional client relationships and ensure timely follow-ups on client requests. Managing client insurance policy renewals. Administrative & Office Support Manage and maintain client records in CRM systems and financial planning software. Maintain compliance files and ensure all documentation meets regulatory standards. Assist with data entry, filing, scanning, and other office management tasks. Gather and organise financial data for use in financial plans and investment proposals. Support the advisor in preparing client reviews, performance reports, and investment recommendations. Research financial products, funds, and market information as directed by the advisor. Ensure timely follow-up on open items, such as pending applications or client documentation. Education & Experience Associate’s or bachelor’s degree in finance or financial planning, or related field preferred but not necessary. 1–3 years of experience in financial services or banking (preferred). Experience with financial planning software and platforms and CRM software a plus. Strong attention to detail and accuracy. Excellent communication and interpersonal skills. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Ability to manage multiple priorities in a fast-paced environment. Knowledge of investment products, insurance, and financial planning concepts (preferred). Small professional office environment.
