Personal Assistant to the Managing Director WA UNIVERSAL is a leading crane, rigging and transport organisation supporting major construction projects across Western Australia. As our Managing Director continues to drive strong growth and operational excellence, we are seeking a highly organized and proactive Personal Assistant to provide both business and personal support. This role is ideal for a driven individual who thrives in a dynamic environment, can manage competing priorities, and understands the need for confidentiality, accuracy and professionalism at all times. About the Role The Personal Assistant will work closely with the Managing Director, providing high-level administrative support across both business and personal domains. You will ensure smooth day-to-day operations, maintain critical deadlines, manage workflows, and help keep communication flowing across departments, clients, and partners. Key Responsibilities Managing the Managing Director’s calendar, scheduling, and prioritisation of appointments Coordinating inbox management, drafting correspondence, filtering emails, and addressing urgent matters Monitoring deadlines, reminders and key deliverables to ensure commitments are met Preparing documents, reports, briefings, presentations and meeting packs Taking meeting minutes and ensuring action items are followed through Monitoring multiple construction and client portals for project correspondence, updates, compliance requests and communications Assisting with preparation of bids, tenders and submissions Supporting mobilisation, operations and project teams with administration and information management Coordinating travel, accommodation and logistics as required Maintaining accurate digital filing systems, registers and document control Assisting with personal errands, household administration and scheduling Managing personal appointments, bookings and calendars as required Providing general support to streamline work/life tasks and reduce administrative load What We’re Looking For Prior experience in a Personal Assistant, Executive Assistant or high-level administrative position Excellent written and verbal communication skills Strong organisational ability with exceptional attention to detail Confidence navigating industry platforms such as Procore, Hammertech, Simpel, Aconex or similar (preferred but not essential) Ability to work independently, solve problems and anticipate needs Integrity, discretion and professionalism at all times High proficiency in Microsoft Office and general digital literacy Ability to adapt quickly when priorities shift in a fast-paced business A proactive, calm and solutions-focused mindset Hours, Location & Conditions Full-time role, Monday to Friday, 40 to 50 hours per week Based at WA UNIVERSAL, 36 Baretta Road, Wangara Competitive salary based on experience All employment conditions aligned with the Fair Work Act and National Employment Standards Onsite, in-person role with direct access to the Managing Director Long-term career stability within a respected and growing industry leader How to Apply If you are highly organized, loyal, and ready to support a Managing Director operating at a fast pace across business and personal commitments, we’d love to hear from you.
