Position Purpose The Conference Centre Officer (22.5 hours per week, Monday - Friday, term time only) plays a vital role in delivering a high-quality experience for all visitors to our professional learning and meeting spaces. As the first point of contact for external guests, course participants, and event attendees, the Officer ensures a welcoming, professional, and seamless experience from arrival through to departure as the front face of our organisation. This role is responsible for the day-to-day coordination of conference and meeting spaces, including room bookings, event logistics, catering, and venue presentation. The Officer ensures each event runs smoothly by anticipating needs, resolving issues quickly, and maintaining a high standard of service and attention to detail. Working closely with the Conference Centre team, other internal teams and external providers, the Officer supports the delivery of courses, meetings, and events that reflect the organisation’s commitment to excellence. The role also contributes to the smooth running of the Conference Centre through continuous improvement, administrative support, and by fostering a collaborative and inclusive environment for all staff and visitors. Key Accountabilities Operational Accountabilities Front-of-House Greet and assist all external guests and professional learning participants on arrival, ensuring a welcoming and professional first impression. Anticipating the needs of guests to ensure their experience is a positive one. Monitor participant check‑ins and resolve minor issues promptly. Maintain a consistent and high standard of service for all visitors (from member schools), contractors and employees to level 12. Maintain a standard of personal presentation that is neat, professional and demonstrates respect for the role, and colleagues, visitors and participants attending the Conference Centre. Assist with end‑to‑end logistics for events, courses, and meetings, including room set‑up/pack‑down, IT coordination and minor trouble shooting, and signage. Work collaboratively with the Conference Centre Coordinator and other team members to ensure Conference Centre and meeting room bookings are accurate and align with internal and external requirements. Support all aspects of catering such as placing orders, liaising with suppliers, accepting deliveries, and ensuring presentation and service comply with food handling standards. Monitor and maintain the cleanliness, functionality, and presentation of all conference, meeting and communal spaces. Maintain stock levels of essential supplies and manage deliveries and couriers to support Conference Centre operations. Report and follow up on maintenance issues as required. Provide support for after‑hours events on occasion. Liaison with internal staff. Maintain accurate records and process invoicing related to Conference Centre services. Administrative Support Regularly check the Conference Centre email inbox and respond to enquiries in a timely and professional manner. Assist with the preparation of course and event materials as required, including name tags and signage. Provide general administrative support to ensure effective delivery of services. Participate in team discussions aimed to improve operational procedures and enhance the efficiency and quality of Conference Centre services. Undertake other duties as required by the Member Services Supervisor.
