About the office Student Administration at the University of Notre Dame provides expertise, service and operational support across a broad range of student administration, student service and key regulatory, policy and compliance functions which support the academic decisions of the Faculties, Schools and other relevant departments at the university. About the role The Student Fees Officer plays a crucial role in managing the smooth operation of student fee management at the University. The position reports to the Student Fees Coordinator and is responsible for ensuring the accurate administration and coordination of student fee records across all cohorts. Key Responsibilities Maintain and manage complex fee structures in the Student Management System, identifying and resolving data anomalies. Process and assess fee‑related applications, including refunds and student financial support requests. Analyse and implement complex pricing scenarios, ensuring compliance with university policies and government legislation. Ensure accurate and timely invoicing for students and third‑party sponsors, including record reconciliation and debt management. Administer fee assessments, sponsorships, and debt recovery processes in line with legislative and contractual requirements. Provide expert advice and training to staff and students on student finance matters, including policies, procedures, and legislation. Qualifications, skills & experience Completion of a diploma qualification and at least 2 years subsequent relevant work experience, or completion of a Certificate IV and extensive (typically more than 2 years) relevant experience or an equivalent combination of relevant experience and/or education/training. Experience in student fees administration, together with experience in related policy implementation. Demonstrated high attention to detail and analytical skills (used to determine the root cause of problems identified by end‑users). Ability to interpret and apply Government and University legislation and policies to work issues. Capacity to work positively and effectively as part of a collaborative team. Demonstrated ability to efficiently organise and plan work to achieve team objectives and work with conflicting demands and priorities. Demonstrated skill in handling work which requires accuracy and high attention to detail. Demonstrated capacity to manage multiple tasks concurrently, coordinate workflows and employ technology in support of the role. Highly developed communication and interpersonal skills with demonstrated experience in providing a high level of client service. Experienced in liaising and managing enquiries from Student Management Systems users, analyse problems, identifying causes and making recommendations on possible solutions. Experience in the Higher Education sector, with TCSI government reporting knowledge (desirable). Capacity to work independently in the achievement of goals, exercise sound judgement and develop innovative solutions to problems and meet deadlines.
