About the Role Montessori Care is looking for a detail‑oriented, high energy Operations Coordinator. The role is suited for individuals who thrive in a fast‑moving scale‑up environment and enjoy building systems from the ground up. You will coordinate rostering of support workers to ensure the right staff are available at the right time, support induction and training, and help maintain high standards of care in line with program objectives and relevant award conditions. You will be hands‑on, in the weeds, and play a key role in ensuring client needs are met with appropriate staffing levels, optimising resources and driving operational excellence. If you enjoy solving complex puzzles, working with data and people, and using digital tools to improve outcomes, this is your role. What You'll Own Workforce Allocation & Scheduling: Rostering of Support Workers with compliance to awards, budgets, Workplace Health and Safety, and efficient use of resources. Timesheet Management & Compliance: Oversee end‑to‑end timesheet processes, verify against rosters, and flag discrepancies to prevent issues. Staff Follow‑up & Accountability: Proactively manage performance and attendance, address late arrivals and no‑shows, and maintain regular communication with staff. Support onboarding, induction, and ongoing training. On‑Call Rostering: Participate in afterhours on‑call roster as required. Supervision & Support: Provide supervision to support workers (shared with Client Relations Manager and BDMs, varying by region). Client & Staff Liaison: Act as primary point of contact for rostering issues and adjust staffing as client care requirements change. Funding & Compliance: Deliver services in accordance with funding agency standards and agreements. Issue Resolution: Address staffing issues, last‑minute changes, no‑shows, and scheduling conflicts to minimise disruption, modelling effective communication and conflict resolution. Process Improvement: Identify gaps in rostering systems and suggest enhancements to increase efficiency and effectiveness. Willingness to learn and grow. Experience in managing small teams or coordinating people. Strong interpersonal and communication skills with a focus on advocacy and support. Demonstrated leadership ability in managing small teams. Tech‑savvy; comfortable using CRMs, case notes, and digital systems. Full Australian Driver’s License and own car.
