Integrated Simulation and Clinical Skills Administrator The closing date is 14 December 2025 We are seeking a highly organised and proactive individual to join our Simulation and Clinical Skills team at UHSussex. This vital role provides administrative and logistical support to ensure the effective delivery of clinical training programmes, with a particular focus on activities at the LMB - RSCH site. As Simulation Administrator, you will play a key role in supporting the training of clinical staff in essential skills and procedures that underpin safe and effective patient care. You will also contribute to the appraisal process by helping to provide accurate training records and evidence for clinical staff. Responsibilities Coordinating and planning scheduled simulation activities, such as the Foundation Programme. Supporting the logistics for delivery of bespoke simulation sessions in response to patient safety incidents or to test new areas of operation. Managing room bookings, equipment setup, and communication with faculty and participants. Maintaining accurate records of training attendance and outcomes to support staff development and appraisal. Maximising the use of our simulation facilities—especially at RSCH—and ensuring our workforce is equipped with the skills needed to deliver high-quality, safe care. Main duties of the job Provide comprehensive, confidential administrative support to the Simulation and Clinical Skills Team. Ensure excellent communication and coordination with a range of organisations, individuals, and official bodies (both local and national); research and draft programmes and correspondence; and manage specific tasks including organising educational events, study days, clinical courses, and simulation programmes. Record and minute incoming requests via email or telephone, safely transfer and hand‑over complex, sometimes sensitive information; handle difficult callers, including members of the media. Use, or be willing to learn, Microsoft Teams and SharePoint for effective communication, document management, and collaboration. Provide diary management for the team: arrange meetings, book appointments on request or based on precedent, apologise where appropriate, and delegate duties appropriately when absent. Daily administrative duties include ordering, receipting, minute taking, agenda preparation, typing, compiling reports, filing, photocopying, taking registers, summarising evaluations, etc., and working at a computer for long periods. Moderate physical effort is required at times, mainly room setup involving manual handling of simulation equipment and manikins. Respond to frequent enquiries from stakeholders, professionals and, less frequently, the general public. Use empathy, tact, sensitivity and judgment to deal with all queries professionally, confidentially and sensitively, especially where there are barriers to understanding. Use initiative to prioritise your own workload, exercising discretion as to urgency, importance and confidentiality. Work independently, although supervised; ask for help or escalation when unsure. Answer general queries from the team and direct them to alternative information sources if appropriate. Offer guidance and support to managers and staff where appropriate. Play a key team role in ensuring projects are delivered. When requested take on work for small projects. Provide support for team members responsible for organising meetings and conferences: create, update and store relevant documents; supply information; liaise with venue staff; respond to changing situational requirements; prioritise; act within competency; play a key role during conferences; collate, analyse and store follow‑up information and assessment. Person Specification Experience Administration experience. Experience running national courses (ARNI, ETC, ATLS or equivalent). Knowledge of NHS/Healthcare. Able to drive.
