Job Description About the role We're looking for a proactive and highly organised Governance & Assistant Company Secretary to join our Sydney team on an 8‑month maternity leave contract starting from mid‑February. Reporting to the General Counsel and working closely with our Company Secretary, you'll play a key role in supporting governance activities across our management committees and broader business operations. This is a hands‑on role where you'll provide committee secretariat support, assist with governance processes, and contribute to project coordination across procurement, insurance and vendor management. You'll partner with senior leaders and support a range of operational functions that keep the business running smoothly. You'll thrive here if you're a strong self‑starter and confident in engaging with senior stakeholders. Key responsibilities Prepare and distribute meeting packs for management committees. Attend meetings, record accurate minutes, track actions and follow‑ups. Maintain and update governance charters in line with review cycles. Assist with annual insurance renewals and liaise with brokers. Support the administration of the Group's insurance arrangements and claims. Support the Group's procurement processes in line with policy requirements. Assist with vendor contract management, including updates in DocuSign. Coordinate vendor renewals and compliance attestations. Assist with the management of property leases and related administrative tasks. Administration of the Employee Share Plan managing monthly leavers. Coordinate with property managers on lease requirements. Provide support across organisation‑wide projects including procurement reviews, insurance activities, and vendor governance initiatives. About you We're looking for someone with strong governance capability, exceptional organisation, and confidence engaging with senior stakeholders. You will bring At least 3 years experience in governance, committee secretariat, or corporate administration roles. Ability to work independently and manage competing priorities. Excellent stakeholder engagement skills, including with senior leaders. Strong attention to detail and comfort operating with minimal direction. Financial Services experience is ideal, but we're open to strong candidates from other industries. Experience using Diligent or similar governance / board management systems is advantageous.
