Part‑Time Contracts & Administration Assistant Baldwin Aquatic is a leading commercial pool construction company based in Coolum, delivering high-quality aquatic facilities across Queensland. About the Role We are seeking an organised and proactive Part‑Time Administration / Contracts Assistant to support our project team & business manager. This role offers flexibility and variety, with a focus on managing project documentation, invoices and administrative systems to keep our projects running smoothly. Key Responsibilities Process, code, and manage supplier and subcontractor invoices using Xero . Manage and organise digital receipts and documentation via Hubdoc . Assist with project administration including contracts, safety documentation and compliance records. Support the preparation of site safety and project documentation for upcoming jobs. Update and maintain project workflows using Trello . Liaise with suppliers, subcontractors and project managers to ensure accurate record‑keeping and timely communication. General office administration and document management. Skills & Experience Previous experience in administration or contracts administration , ideally in the construction industry . Proficiency with Xero , Hubdoc and Trello (or similar systems). Strong attention to detail and organisational skills. Excellent written and verbal communication. Ability to work independently and manage multiple priorities. Understanding of construction documentation or WHS compliance (desirable but not essential).
