ADMINISTRATION ASSISTANT - MATERNITY LEAVE POSITION Southern States Group is a very successful family-owned business, with a great culture. The Administration Assistant isto ensure that customers and visitors of the business are greeted in a professional and friendly manner. The office Administration Assistant will also provide general administrative assistance to the Rail Department. This role requires a strong understanding of administration tasks, attention to detail and the ability to work collaboratively with internal and external stakeholders. DUTIES & RESPONSIBILITIES Provide a professional reception experience including answering phones promptly, responding to general enquiries and greeting all visitors in a friendly manner when required. Assist the Office Administrator and Project Management team when required. Ordering of office stationery. Answering emails Manage all incoming and outgoing mail. Assist in preparing client invoices and managing documentation. Assist in creating and processing purchase orders. Scanning and filing. Manage Petty cash. Support the HR and OHS team. Maintain the office environment to a high standard, ensuring that office, kitchen spaces and staff areas are kept clean and tidy at all times. Ensure the security of information, particularly company pricing, sales or market information. Carry out all other tasks requested by Management. EXPERIENCE, QUALIFICATIONS & SKILLS REQUIRED Experience in Microsoft Suite & computer experience. Attention to detail and commitment to processes. Strong work ethic with the ability to prioritise. Initiative and enthusiasm. Willingness to learn and to follow instructions. Flexible approach to working hours and punctual. Ability to work well with others in a team. Clean and tidy appearance. Qualifications/Experience Minimum 2 years’ experience within a similar role.
