How will you CONTRIBUTE and GROW?

As Order Manager / Expeditor you will be part of a team located in Krakow supporting the execution of purchase orders for equipment required by our projects. You will be managing the portfolio of purchase orders for one or more projects from the initial kick off meeting until the final delivery of the equipment package to the project site. Your role will be to proactively monitor the equipment orders and inform Project Management of the progress and any risks and deviations relating to the timely delivery of the equipment as per the contractual requirements. By maintaining regular contact with our suppliers and fostering a cooperative environment you are a key contributor to the successful execution of our projects.

The key responsibility focuses on the strategic expediting of our suppliers of static, fired, rotating, E&I equipment, as well as bulk materials. The key objectives for which the Order Manager / Expeditor (OME) shall be accountable are the on time delivery of equipment, material and supplier documentation within the OM/E budget. Furthermore the OME shall perform shop visits to supplier works for auditing the manufacturing status in line with project schedule and ensure documented order close out, effective contribution to back charges in

relation to cost of deficiencies and provide support to claims management.

Your main tasks include:

  • Develop project specific OM/E execution plan for Order Management / Expediting. 

  • Monitor documents and information to be received from suppliers (organization chart, progress report, fabrication, schedule, overview on the critical material for prefabrication).

  • Compile and issue expediting visit reports as well as minutes of meetings held with suppliers. Compile and issue monthly expediting report.

  • Conduct expediting visits to suppliers with reinforced expediting in case of failing suppliers and raise appropriate alerts to the project when delay detected.

  • Proactively monitor all supplier activities from design development, material procurement phase, manufacturing and testing process as well as shipping preparation. Review vendor progress reports, fabrication schedules and raise appropriate alerts to the project in case of deviations.

  • Monitor and address delayed critical vendor documentation from supplier based on document status by Documentation Control.

  • Identify potential areas of concerns or delays with deliveries and initiate appropriate corrective actions. Collecting recovery plan from supplier followed by supporting plan review by AL.

  • Enter tracking data and keep up to date the progress management tool (OM/E Dashboard – manual tables or SAP database / ERP system , based on project requirements including reporting to the client if required)

  • Manage and collect all relevant information such as schedules, actual progress, deficiencies and maintain a claim dossier for each PO. Provide support to the claim leader in negotiating claims with the supplier.

  • Coordinate jointly with Project and Technical Teams, all necessary measures to expedite technical and procurement tasks from PO placement till review, approval and compilation of vendors final documentation

Are you a MATCH?

  • experience in Supply Chain Management/ Project Management in global organization (3 years),

  • experience in manufacturing processes as well as contractual/commercial management,

  • problem solving and negotiation skills,

  • knowledge of MS Office ( MS Excel), Google environment, and basic reporting techniques, as well as ERP / SAP,

  • strong communication skills, teamwork spirit and attention to details,

  • fluent English,

  • French language would be an advantage.
