**Receptionist**

ADF International is looking for a highly organized **Receptionist **to join us in our Vienna, Austria office. As a Receptionist you are a vital part of the ADF International team in Vienna, Austria, and responsible for assisting with the day-to-day facilities and office operations for the Vienna office. This position will have the shared responsibility of answering the phone at the front desk as well as greeting any guests that may arrive at the building. In addition, this position will assist with guest and vendor relations, office calendar management, and operational support for the Vienna office.

This is a part-time position (20 to 25 hours) with a daily schedule of office hours between 8 am and 12 pm (or 1 pm).

**Your Essential Responsibilities**:
In this position, you will:

- Answer and forward phone calls
- Receive, sort and distribute daily mail
- Prepare letters and packages for shipment and bring them to the post office
- Welcome and direct guests
- Maintain office security by following safety procedures and controlling access via the reception desk and distribution of security credentials for Team Members, guests, tenants and vendors

**Office Calendar Management**
- Regularly update the office calendar to reflect on-site events and meetings
- Assist ADF personnel and guests, tenants with reserving conference rooms for meetings and events
- Manage reservations, keys and access to ADF areas

**Facilities Support**
- Assist with daily operational and administrative functions
- Coordinate with the Office Manager to ensure that security policies are clearly communicated and adhered to by ADF Team Members, guests, tenants and vendors

**Other Responsibilities**:

- You may be asked to perform related duties or special projects as assigned within the general scope of the position.

**Skills You Need to Succeed**:
Demonstrated proficiency in:

- Customer service and interpersonal skills
- Attention to detail
- Communication skills, both verbal and written
- Organizational and planning skills

Ability to:

- Multitask effectively in a fast-paced environment

**Education and/or Experience**:

- Customer service and administrative experience desired
- Proficiency in German and excellent English required

**Work permit for Austria or EU citizenship required.
