We are looking for a Personal Assistant to our CEO based at the headquarters. As an internal and external information and communication hub, you will be independently responsible for the organisation of your area and work very closely with our chief executive. The focus of your tasks is to provide comprehensive support in all organisational and administrative activities. You will be responsible for scheduling and travel planning, organising internal and external meetings, conference attendances, business meetings, customer visits and and workshops, creating presentations and coordinating internal topics and controlling the associated flow of information.

**Job Description**:
In this position you will be responsible for:

Coordinating meetings, appointments and conference calls
- Preparing and compilating all relevant documents incl. agendas and briefings for the CEO, attending in meetings as necessary, taking of minutes and ensuring follow-up actions are progressed
- Organizing and keeping track of all projects and files handled by the CEO
- Creating and maintaining databases (e.g. CRM) and tracking systems
- Leading and supporting cross-divisional and cross-company projects
- Supporting the CEO in strategic agendas, the implementation and further development of the organization and in the day-to-day operations
- Communication interface between
- / contact person for all departments
- Managing and coordinating business travels and itineraries
- Processing expenses, credit card statements, returns and raising purchase orders and other finance related duties as directed by the CEO
- Cooperation with legal advisors and processing of legal cases
- Extensive collaboration with the HR, marketing and sales team

**Qualifications**:
Your qualifications should include:

- Successful completed Bachelor degree ideally in Business Administration, Tourism & Hospitality Management or a similar field
- 3-5 years of experience in a similar position (ideally as a PA)
- Highest level of confidentiality, reliability, discretion and trust
- Flexible approach to work and willing to work extra time (on-call during weekends and after business hours)
- High willingness to travel, also on short notice (48 hours for 2-4 days)
- Excellent English language skills (both verbal and written
- C2 Level)
- Ability to communicate and correspond orally and written with C-Level Executives
- Strong knowledge and extensive use of Microsoft Office
- Good planning, scheduling and organizational skills
- Experience in conducting research, social media and technology
- Structured and with the ability to maintain an overview in stressful situations thanks to analytical skills
- High self-motivation, independency, taking initiative and responsibility
- High service orientation, accuracy, efficiency and flexibility
- Ability to anticipate needs and preferences, make good judgements based on the needs of the company operation, in a very fluid, fast changing environment
- Proven problem solving
- and decision-making skills and perseverance in completing a variety of tasks.
- Demonstrating a can-do attitude, strong interpersonal skills and cultural awareness when dealing with colleagues, customers and clients including a positive attitude towards teamwork
- Must have the right to live and work in Austria, including clean criminal record
