About the role

You will be responsible for multiple aspects of the day-to-day running of office operations at Cropster in its HQ in Innsbruck and work closely with our Administration and Accounting team in Austria (and to some extent in the US) and our Management Team. You will own a diverse and interesting set of responsibilities across various aspects of the business. You will be instrumental to our growth as a company through the improvement of existing processes, as well as the introduction of new ones, and through facilitating the day-to-day activities of our sales, operations, management, and support teams.

The position is based on-site in Innsbruck, with some flexibility for work-from-home arrangements. We are open to part-time employment with a minimum of 30 hours/week.

What you'll do
- Proactively manage our Innsbruck office including its inventory, equipment, and supplies to ensure (home) office efficiency and maintain compliance with safety standards and company policy.
- Manage relationships/ contracts with external providers (e.g. energy, water, internet, shipping, telephone, cleaning, etc.) and be their contact person at Cropster.
- Coordinate the day-to-day office activities such as handling incoming and outgoing shipments, addressing office visitors, answering the office phone, etc.
- Define, refine, and document administrative processes, standards, and interfaces with internal and external stakeholders.
- Perform administrative activities for accounting (e.g. expenditures, receipts, invoices, etc.).
- Support the Management Team with administrative tasks, e.g. organizing trips or meetings.
- Lead the organization of special events (e.g. global team meetings) or other projects at the Management Team level and specific projects related to office administration.

We are looking for someone with
- High school diploma (HAK, HLW/HBLA, etc.) or above.
- Prior working experience in office administration or similar, heavily customer-focused positions.
- Willingness to take over ownership and work independently.
- Strong organizational and management skills with the ability to multitask and prioritize effectively.
- Excellent communication and interpersonal skills and a strong (internal) customer focus.
- A drive for scalable processes and procedures.
- Familiarity with online tools like Google Workspace or MS Office 365.
- Proficiency in written and spoken English and German.

That said, we’d be particularly delighted to hire someone with
- Project management experience, ideally related to office administration.
