Office and Facilities Management Assistant

**About The Role**:
As the Office and Facilities Assistant you will be responsible for providing, coordinating and maintaining internal services to the business. They will support the Facilities and HSSE Manager to maintain a functioning office environment which will include the collation of data on the premises and utilise this data to make improvements to the facilities and services provided for our employees.
Working closely with Stakeholders across the business you will provide professional, commercial, timely and accurate support to ensure facilities are maintained to a high standard.
**What you will be doing**:
- Provide an effective and dedicated service in the field of facility management by repairing and maintaining the office facilities
- To support the Facilities Manager with the effective and efficient delivery of a high quality office services including the management of office functions, postal and stationery procurement and security
- The Office Facilities Assistant will build and maintain relationships with external providers to ensure services are provided to the business in a timely and cost effective manner
- Providing administration support which will include the collation of data around resources such as stationary, printer supplies, seating plans etc.
- Set performance standards for office services that drive a customer focused service to the business and ensure these standards are met
- To support with the arrangement of safety checks of all equipment, safety lighting, fire alarms and fire exits
- To support the Facilities Manager in all aspects of car parking control and liaising with agents for new lettings
- Support with the investigations of and respond accordingly to reports of faults, breakdowns to office equipment and call out contractors if required and support with the overseeing of the work done
- Documentation of all health and safety incidents and events
- Support with providing legally required services such as fire wardens and first aiders ensuring the business knows who they are and we are compliant as a business
- Support with the organisation of and assist with office moves
**Who you are**:
- Previous work experience in a similar role or field of facility, property, office management or building industry
- Accurate and organised worker
- Service oriented and customer friendly
- Strong communication skills (both verbal and written)
- Practical individual with a “hands on” mentality
- Basic understanding of IT, pc hardware and network
- Well skilled abilities with MS Office software products
- Highly resilient with a ‘can do’ attitude
- Able to work weekends as and when required
- Valid H & S and local Fire Warden certification desirable
- Fluency in English and German languages
