Administration & Operations Manager, Property & Asset ManagementWe are looking for a full-time Administration & Operations Manager to join our Property & Asset Management team located in our beautiful Sydney CBD office.
Reporting to the Director of Property & Asset Management, this role will see you thriving in below listed Key Performance Areas.
Key Performance Areas: Executive Assistant support to the Director of Property & Asset Management Extensive email management to ensure important emails are flagged and actioned on a timely mannerComplex calendar managementTravel management when requiredOrganising meetings on behalf of your manager as requiredCollating documents and preparing agenda for various meetings as requiredAttending meetings and taking meeting minutes as requiredBe the first point of contact on behalf of your manager for all PAM related mattersBusiness Development Support Assisting with submissions and client presentations as requiredManagement Fees & New Appointments Raising monthly management fees as requiredEnsuring management fees are reviewed and increases are applied as per agreementFollowing up with PMs and Trust Accountants with any changes to the portfolio on a monthly basisFollowing up on outstanding payments with Property Managers and Trust AccountantsWorking with the Trust Accounting team and Corporate Finance team on:Duplicate invoices / over payments by clientCancellation of invoices - incorrectly raisedSetting up new appointment / managements in PMS system Cirrus 8Ensuring all procedures followed through and all required documents uploaded to the PMS systemEnsuring the recurring management invoices template is set upRaising one-off fees such as facilities or project related fees for appointmentRaising Leasing Fees for Property Managers as requiredEnsuring suppliers invoices are approved and paid on a timely mannerEnsuring correct divisional coding applied on each invoiceSoftware and Monthly Training Attending monthly training on various systems including Cirrus 8, MRI, and XeroBe the champion user of above-mentioned systems: Cirrus 8, MRI and XeroOther Admin Support Collaborating with the Admin team for events / meeting arrangement (internal and external)Working with HR Officer on new recruitment, onboarding, and offboarding as requiredProviding supporting documents to Corporate Finance team to ensure Bonus payments allocated accurately and paid on a timely mannerKey Requirements: 3-5 years' experience in an administration positionAdvanced Microsoft Office 365Experience in using Teams/Zoom SuitesExtensive experience with CRM or PMS systemKnowledge and experience with Cirrus 8, MRI and Xero are ideal but training will be providedUnderstanding of business administration principles and conceptsStrong verbal and written communication skills with an excellent telephone mannerHigh level of attention to detailExperience with calendar and meetings managementAbility to provide high level general office supportAbility to effectively communicate and align with stakeholdersAbout Stanton Hillier Parker: Stanton Hillier Parker proudly provides world-class property and real estate services to a diverse range of private, institutional and government clients Australia-wide including commercial sales and transactions, capital markets, property leasing, asset management, residential project marketing and valuations.
