Where and how you can work Our flagship campus is in Sydney. We also have a campus in Melbourne and co-working spaces in Brisbane, Perth, and Adelaide. This role is open to applicants looking for a hybrid style of working, who are able to attend the Sydney office frequently. What you'd be doing in this role This mid-level role is a unique mix of many varied tasks - from the administrative to the operational - and will suit someone with some experience in both areas, who is looking to develop their career as an Operations Business Partner. You will support our Head of AI Products to coordinate a breadth of cross-functional projects that our lead oversees and help drive them to unilateral success by working with key stakeholders, project leads, and team members globally to organise, wrangle, set up, and maintain operational cadences and strategy for the projects.
You will be responsible for the leader's calendar management and day-to-day organisation including efficient task prioritisation, meeting preparation, follow-ups of action items, and email management, amongst other ad hoc administrative tasks.
In this role, where no 2 days will be the same, you will need to be willing to roll your sleeves up and take on a wide range of tasks, think and react quickly to urgent asks, and work with a huge cross spectrum of stakeholders to deliver impact and help propel Canva forward. This role requires someone who can operate with pace, navigate chaos confidently, have high degrees of confidentiality and emotional intelligence, and can truly make the complex simple, by knowing who and when to engage with at any one time.
At the moment, this role is focused on:
Owning operations end-to-end: You take charge and ensure we have built cadences and administrative infrastructure that are essential to building operational excellence and hitting goals. Project Operations: You'll set up and drive project tracking, support on varied projects and constantly iterate on this as Canva grows. You will also coordinate and facilitate meetings, defining objectives, purpose, and agendas, and constantly looking for ways to improve the operational cadences. Time, calendar, and email management: including triage as well as drafts for external emails. Owning visual communication delivery: You are able to take key points and talk tracks and turn these into decks and storytelling that are impactful to both internal and external audiences. Proactively driving initiatives forward: You will keep projects on track by coordinating and tracking timelines, milestones, and statuses, calling out issues as needed. Able to work across big picture initiatives with the ability to break assignments down into manageable efforts and ensure they are able to be tracked and delivered. Forecasting and predicting emerging opportunities: As you develop into the role you will work to forecast and anticipate emerging opportunities across Canva, and preemptively work on solutions, constantly looking for areas to improve. You'll communicate strategically to support Canva: You are proactive in wrangling for your Lead and the teams that he works with, facilitating relationships across the business and helping connect the dots to ensure all relevant teams and partners are up to date and working efficiently. You're probably a match if: You have some proven experience in an Operations, Program, or Project Management role, or similar, within the tech environment. You thrive in a reactive, fast-paced environment where things often change by the minute and are able to pivot quickly, and you are comfortable with a high volume of requests. You're a visual communication whiz, creating beautiful on-brand decks on the fly. You have experience prioritising, managing, and tracking multiple projects simultaneously with the ability to work autonomously in a fast-paced, high-growth environment. You have a keen eye for detail and a strong desire to uphold high standards of excellence. You're truly self-motivated with a desire to constantly learn and develop a wide range of skills. You're curious, inquisitive, and proactive, with the confidence to build networks to help support your lead and their broad remit, both internally and externally. You build relationships quickly and operate with a high level of EQ. About the team This role will work closely with our Head of AI Products, our latest acquisition - Leonardo AI - and the Founder teams that he runs closely with. You will partner with our leader and the broader leadership teams across various parts of the Canva business to ensure there is effective and impactful support.
The leader you'll support works across AI holistically, and our Step 2 / Canva Foundation efforts so the role will provide exposure across a number of groups, specialties, and projects at Canva.
