The Executive Support Officer (ESO) is responsible for providing high-level executive and administrative support to the Chief Executive Officer (CEO) and Executive Team.
The position involves access to, and handling of confidential information and is a key point of contact for external stakeholders.
The position requires the highest level of confidentiality, professionalism, interpersonal skills, and attention to detail.
Key Responsibilities and Accountabilities
With a primary focus on supporting the CEO, provide support to the Executive team as directed to ensure operations run effectively and efficiently.
Work with the Board, Executive and Marketing and Events Officer to coordinate external events for the company.
Coordinate meetings with internal and external stakeholders as directed by the Executive team and CEO.
This includes providing support in setting up interviews and organising team activities.
Provide project management support to the CEO and Executive and Senior Management Teams.
Provide administrative support for board meetings.
Prepare and format communication including reports, presentations and internal and external correspondence as directed by the Executive team.
Assist in the collation of content, formatting and tracking of submissions to government and other funding bodies (Expressions of Interest, Request for Proposals, Grant applications etc).
Co-ordinate travel and accommodation arrangements for the Board and Executive.
Deliver all incoming correspondence to relevant executive staff or program managers.
Complete purchase orders for expenditure related to meetings and daily operations of the company in accordance with delegations and procurement processes.
Provide high-level secretariat support including preparation of agenda and papers; taking minutes and following up on actions; facilitating review by the CEO; and distribution to relevant stakeholders on schedule.
This applies to Executive team meetings, Management team meetings, Board committee meetings including Community and Youth Advisory Groups, and other meetings as directed by the CEO.
Coordinate venue booking, set up and pack up; arrange catering; and provide support for meetings and other events as directed by the Executive team.
Maintain accurate records that are up-to-date, complete and readily available to stakeholders who need access to them, while maintaining strict confidentiality.
Ensure all documentation and correspondence is filed and archived in an appropriate manner.
Attend and contribute to relevant team meetings.
Provide advice, mentoring and support to new staff / trainees / students / volunteers, as a key point of contact for CEO.
Maintain positive relationships with all internal and external stakeholders who engage with executive and board (other agencies, suppliers, etc).
Required Qualifications and Experience
At least 3 years' experience providing effective, concise and high-level support at an executive level.
High level computer skills and an in-depth knowledge of Microsoft Office Suite of applications.
Knowledge of standard office administrative practices and procedures.
Good communication skills, including ability to liaise with a range of stakeholders.
Good organisational skills, including experience arranging events.
Required Licenses and Checks
Ability to pass a National Police Check – no Serious/Criminal/Court Records.
Current Blue Card (Queensland's Working with Children Check).
Proof of qualifications and current registration (as appropriate) are to be provided prior to commencement of employment.
