ABOUT THE ROLE In line with IAG's continued growth, we are offering an exciting opportunity to join our team as a Senior Project Administrator.
This role is integral to our national operations and is based in Melbourne.
We are committed to supporting flexible work arrangements, allowing the successful candidate to split their time between remote work and in-office collaboration as needed.
The Senior Project Administrator will report directly to both the Chief Operating Officer and Group Financial Controller, playing a pivotal role in the administration and coordination of our project portfolio.
The key responsibilities include:
Financial Management: Lead the generation of project invoices, conduct account follow-ups, and manage debtor collection to ensure the financial health of our projects.Project Coordination: Assist Assignment Leads and project team members in managing and tracking project information.Document Management: Ensure that all project records and documents, including contracts, orders, and variations, are accurately captured, stored, and maintained according to company standards.System Configuration: Set up and configure projects within our project tracking system, assigning resources, tasks, and bill rates to ensure smooth project administration.Reporting & Analysis: Prepare project status reports as required, including financial updates, progress tracking, and forecasting to keep senior management and stakeholders informed.Team Support: Provide ongoing support to Assignment Leads and project team members, helping them navigate project workflows and resolve any administrative issues that arise.Team Management: Leading, managing, developing team member/s within the Project Management / Invoicing team.ABOUT IAG At IAG, you will benefit from:

Your qualifications and experience will include:
Educational Background: A high school diploma or equivalent is required; a bachelor's degree in business administration, project management, or a related field is preferred.Experience: You have a minimum of 5 years of experience in a similar role, ideally within a professional services environment.Organisational Skills: You are highly organised, efficient, and process-oriented, with a proven ability to manage multiple tasks and meet hard deadlines in a fast-paced setting.Adaptability: You demonstrate an ability to adapt to changing priorities and navigate ambiguity, ensuring that project objectives are met even in challenging circumstances.Communication Skills: You possess excellent communication and interpersonal skills, and you are confident in proactively reaching out to senior members of the broader team as required.Technical Proficiency: You are proficient in Microsoft Office and other office software; experience with Xero and project management systems is highly regarded.Initiative: You are a self-starter who enjoys 'rolling up your sleeves' to challenge the status quo, identify opportunities for business and process improvement, and actively seek opportunities to grow your skills.Team Values: You value diversity and enjoy being part of a tight-knit, humble team that strives for outstanding infrastructure outcomes for clients and the wider community.If you believe you have the skills and experience, and are keen to join a growing, dynamic organisation, then apply now.
