Team Assistant – Wealth Management

About the role An exciting opportunity exists for a confident and organised team player to join our Wealth Management division as a Team Assistant.
You will be required to use initiative and be able to manage multiple tasks efficiently and to tight deadlines with attention to detail.
You will need to be proactive and confident.
A mature approach coupled with exceptional written and verbal communication skills will be called upon.
Key responsibilities Mail and Document Management: Handle incoming and outgoing mail (both paper and electronic), scanning, and filing documents into internal systems.
Data Entry and Account Management: Open new client accounts in XPLAN and MYOB, manage client reimbursements, and arrange payments from client Macquarie CMA accounts to external parties.
Client and Event Support: Assist in organizing client seminars or events and manage all FDS/OFA agreements and AML searches for new clients.
Monthly Fee Administration: Oversee the end-to-end monthly fee process, including portfolio checks, preparation of WIP and write-off reports, invoice creation in MYOB Advanced, and preparing bulk transaction spreadsheets for payments.
Financial Administration: Perform bank reconciliations, manage debtors, and assist the Wealth Team with account reimbursements.
Annual Tax Project Assistance: Support the Senior Client Service Associate with the Annual Tax Project from August to October each year.
General Skills: Strong organizational skills, attention to detail, and proficiency in financial management software like MYOB and XPLAN.
Who we're after This position is best suited for individuals who have completed a Business, Finance, Commerce or Financial Planning qualification, or those who have a keen interest in pursuing a career in Wealth Management.
To be successful in this role your qualities, skills, knowledge and tasks will include: Ability and confidence to interact with staff of all levels including Partners Demonstrated honesty and integrity when managing client information Team oriented with an ability to foster effective working relationship within the team Exceptional organisational abilities evidenced through managing high volume workflow Commitment to efficient administration/process improvement Monitor email queues and assign to team members Assistance with client communication management and service Technical skills/experience desired but not compulsory, include: Microsoft office Previous experience in MYOB Advanced , Xplan and Macquarie products highly regarded.
