Step into a role where you will be integral to the every-day operations of Equans Fire Protection Services in Salisbury North.

Equans, a leading provider of technical services across Australia & New Zealand, and globally, is on the lookout for an enthusiastic and experienced Administration Assistant to join our Fire Protection Services team at our Salisbury North office.

While it is preferable that you have exposure to multi-service, facilities management and/or maintenance business, it is not required.

With highly qualified employees across 20+ locations in Australia and New Zealand, we provide excellent technical expertise in design, installation, and maintenance, with a unique combination of skills in Mechanical, Fire Protection, AV and Electrical and Communications Services.

What You Will Be Doing Liaising with suppliers, contractors, customers, and technicians.
Providing exceptional customer service.
This role is highly process driven and includes: Invoicing (start to finish) Processing purchase orders Ordering parts required for technician jobs.
Allocating work and scheduling technicians.
Managing workflow within customer portals.
Providing administrative support to the Operations Manager.
Maintaining customer service documentation.
Following up on outstanding work and invoices.
A Typical Day Looks Like Triage work orders based on urgency to allocate to technicians.
Raise work orders using the client portal system and convert them into Pronto & Click.
Assess whether the work is local or rural.
Schedule a technician to the job.
Coordinate with technicians for parts required to complete jobs.
Produce quotes as requested by clients.
Invoice clients and upload completed paperwork to the client portal.
Provide excellent customer service.

Strong spreadsheet/excel skills and ability to maintain detailed records.
Excellent analytical skills.
Conscientiousness and reliability.
Openness to learn new computer systems/programs.
Intermediate to advanced computer & MS Office skills.
