About the role
This position works in collaboration with academic and professional colleagues to provide effective and efficient administrative support for the clinical education area within the School of Health.
This position will report to the Clinical Academic Lead (Occupational therapy), working with general direction, and will oversee the administration function within clinical education.
Key Responsibilities
Provide effective and efficient high level administrative support and assist the Clinical Academic Lead (OT) in supervising the administrative function within clinical education area.
Coordinate meetings, prepare accurate minutes and organise correspondence for meetings in a timely and efficient manner.
Compile and assist with reports, typing of correspondence, submissions, statistical summaries and data sets, and other similar material as required.
Provide excellent customer service to students and University stakeholders by providing quality responses to a wide range of queries, whilst liaising closely with other areas of the organisation.
Support and maintenance of internal databases and registers and management of day-to-day requirements of the office.
Assist the Clinical Academic Lead (OT) and/or their delegate with the management and review of policies, procedures, guidelines and forms.
Support procurement and finance processes as required.
Provide regular liaison with various leaders across University departments to ensure effective and productive collaboration.
Comply with all other reasonable training and duties as identified by the line manager (or delegate).
Comply with University policies and procedures in all aspects of their work and conduct.
Qualifications, skills & experience
Completion of a degree without subsequent relevant work experience, or an equivalent combination of relevant experience and/or education/training.
Demonstrated experience in administration with advanced level of organisation and computer skills including a good knowledge of the Microsoft Office suite as well as the capacity to learn and use in-house administrative database systems.
Highly developed communication skills, with the ability to build relationships, engage and influence stakeholders.
Excellent operational, organisational and administration skills including the ability to manage multiple competing priorities.
High level of competency in various software packages including the Microsoft Office Suite (Word, Excel, Visio), Adobe, In-Design, and placement database SONIA.
An understanding of the contribution policies, data sets and procedures make to the achievement of the University's strategic objectives.
Ability to collaborate across multifunctional teams, providing a high level and responsive service.
Proven record of preparing high quality documentation with excellent accuracy and attention to detail.
Sensitivity to and recognition of dealing with confidential information.
