GENERAL PURPOSE
This position performs a variety of standard and specialized clerical activities to support the Bureau of Fleet Maintenance functions, services, and all programs. Saturday and evening work may be required as part of the regular schedule. Responsible for the receipt of two-way radio transmissions and telephone requests concerning Bureau activities and relaying to proper officials or crews through verbal, written or computer-generated work orders.
SUPERVISION RECEIVED
Employee works under the supervision of the Office Manager and Bureau Manager.
SUPERVISION EXERCISED
At the discretion of the Office Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Works from general instructions and standard knowledge of Bureau's operational policies, procedures and routines.
- Courteously greets the general public, answers inquiries or refers questions to the proper supervisor. Provides quality and effective customer service.
- Receives and relays messages via two-way radio, Lucity work order system, Samsara, emails, city website updates, etc.
- Generates, sends, and tracks complaints and work orders.
- Performs written communication functions including preparing correspondence, reports, and informational flyers.
- Generates specialized computer reports as requested by the bureau manager.
- Corresponds with businesses and individuals.
- Assists with audits as requested by the Bureau Manager.
- Develops and compiles agendas for meetings, takes minutes, and prepares permanent records.
- Responsible for payroll, invoice payments, and maintaining related records.
- Maintains data of confidential information.
- Assists in training of lower classification employees.
- Refers problems to Public Works Operations Manager.
- Observes rules on quality work and courteous service.
- May work additional hours during emergency situations.
- Performs related work as required.
DESIRED MINIMUM QUALIFICATIONS
(A) Graduation from high school.
(B) Four years experience and proficiency in computer software programs including Windows, Word, and Excel.
(C) Knowledge of the English Language and ability to communicate clearly.
(D) Knowledge of arithmetic and ability to perform general math functions.
(E) Equivalent combination of experience and training.
(F) Possession of a valid Pennsylvania Driver's license.
NECESSARY KNOWLEDGE, SKILLS AND ABILITIES
(A) Extensive experience in Windows, Word, and Excel.
(B) Ability to communicate ideas clearly.
(C) Knowledge of modern office practices and procedures.
(D) Ability to maintain complex clerical records and prepare reports.
(E) Ability to function under stress and perform multiple tasks.
(F) Ability to handle information and complaints accurately.
(G) Ability to prioritize work assignments.
(H) Problem-solving skills and sound judgment.
(I) Ability to read a City map.
(J) Ability to work independently with minimum supervision.
(K) Ability to deal with the public and maintain composure under difficult circumstances.
SPECIAL REQUIREMENTS
Possession of a valid Pennsylvania Driver's license.
TOOLS AND EQUIPMENT USED
Requires daily use of personal computer, copy machine, fax machine, and telephone system.
PHYSICAL DEMANDS
The employee must frequently use hands to operate objects and is required to sit, talk, or hear. Occasionally required to walk, stand, stoop, kneel, crouch, crawl, and lift up to 25 pounds.
WORK ENVIRONMENT
The employee works in an office environment with a usually quiet noise level.
