To keep our fast-paced environment running smoothly, we're looking for a
Office and Workplace Coordinator (m/f/d)
who will be the heart of our Vienna office. In this role, you'll create a welcoming atmosphere for guests and employees alike, support daily operations, and help ensure our workspace stays organized, functional, and enjoyable for everyone.

What You'll Do

  • Be the friendly face that greets guests, clients and teammates
  • Take care of visitor registration process
  • Manage calls, mail and deliveries (including Spar and courier services)
  • Support the Site Leader with office organization and facility management
  • Keep supplies stocked and the office running smoothly
  • Help organize team events that make our office fun
  • Provide general administrative support to different departments

What You Bring

  • Previous experience in office management, administration, or a front desk/reception role
  • Excellent communication and interpersonal skills, with a friendly and professional demeanor
  • Highly organized, detail-oriented, and able to manage multiple tasks efficiently
  • Experience with Google Workspace (Docs, Sheets, Calendar, etc.) is an advantage
  • Very good English, German is a plus but not required

This is a
part-time position
(25–30 hours per week), but alternative weekly hours can be arranged upon agreement.

For this position, the collective agreement sets a minimum salary of € 2.169 gross per month (based on 38.5 hours/week). The actual compensation depends on your qualifications and experience, and we are happy to offer a higher salary if appropriate. Salaries are paid 14 times per year. The applicable collective agreement is for Information Technology and Data Processing (IT).
