AI:AT – the AI Factory Austria – is making Austria a hotspot for Artificial Intelligence in Europe.

AI:AT is a joint project of AIT and Advanced Computing Austria. It brings together top-level expertise in high-performance computing, artificial intelligence, and data ecosystems, creating an interdisciplinary innovation environment for research, development, start-ups, and industrial projects.

AI:AT – the AI Factory Austria – provides access to cutting-edge AI infrastructure, promotes trustworthy AI and ethical standards, and serves as a hub for networking with national and European partners. The goal is to work with partners from industry and public institutions to develop and implement forward-looking AI technologies and viable AI solutions.

As part of the collaboration within the AI Factory Austria, the Austrian Institute of Technology will delegate experts to the AI Factory Austria. For our location in Vienna, we are seeking a:

Working Student (f/m/d) for Project & Administrative Support (Part-time: 20 h / Week)

AI:AT - AI Factory Austria

Project Coordination & Reporting

• Take responsibility for small, clearly defined projects (e.g., process improvements, event organization, internal documentation), and support project tasks, deliverables, and KPIs.
• Collect and consolidate timesheets for internal and external reporting, and support project controlling activities.
• Assist in managing service and contracts with companies, start-ups, and public institutions.
• Support in monitoring project timelines, and ensure deadlines are met.

Office & Administrative Support

• Handle general correspondence and administrative tasks.
• Prepare decision-making documents for management.
• Manage the internal ticketing system and resolve or forward requests.
• Identify opportunities to simplify, improve, and automate internal processes.
• Prepare onboarding materials and coordinate onboarding schedules.

Your qualifications:

• Currently enrolled in a university / FH study programme
• Confident in using Office tools (Excel, Power Query) and ability to quickly learn new software or digital tools
• Strong organizational skills and exceptional attention to detail
• Analytical mindset with the ability to structure information and solve problems independently
• Outgoing, positive attitude and confidence in interacting with team members
• Hands-on mentality — ready to support wherever needed and take initiative
• Ability to manage multiple tasks simultaneously and set clear priorities
• Interest in project and contract management, ideally in funded R&D projects (FFG, Horizon Europe, etc.)
• Professional English skills and good command of German
• Availability to work onsite, with the possibility of home-office hours upon agreement
• You should be eligible for working in Austria

What to expect:

• Start date: as soon as possible
• Duration: 6 months (in parallel to your studies), with flexibility to align with your academic progression. Extension of the contract could also be considered.
• Close collaboration with top national and international partners within the field of advanced AI and HPC technologies.
  The minimum gross annual salary on a full-time basis (38,5 h / week) according to the collective agreement is EUR 38.864,- -.
