The role is responsible for the comprehensive organization and coordination of high-level meetings, ensuring smooth communication and collaboration between internal and external stakeholders. It plays a key role in managing meeting logistics, documentation, and regulatory compliance, while also supporting digital workflows and process optimization. By contributing to strategic planning and operational excellence, the position supports modern governance standards and strengthens the department's overall efficiency and effectiveness.

Your Tasks
  • Planning and coordinating high-level meetings with internal and external stakeholders, including Management and Supervisory Boards, ensuring timely scheduling, agenda preparation, and document distribution
  • Managing meeting logistics while ensuring compliance with regulatory standards
  • Overseeing application and approval processes, including reviewing submissions for formal accuracy and managing digital workflows for approvals and distribution
  • Driving process optimization by developing and reviewing workflows, integrating digital tools, and contributing to strategic improvements in governance practices
Your Background
  • Proven experience in organizing and coordinating meetings, ideally with exposure to C-level management and corporate governance environments
  • Strong technical proficiency in MS Office and digital collaboration tools, with a proactive mindset toward digital transformation
  • Excellent organizational and communication skills, with a high level of discretion, accuracy, and the ability to work independently under pressure
  • Team-oriented and flexible, with a strategic mindset, willingness to support colleagues, and readiness to be present on-site during key meeting periods
  • Fluent in German and English
