The position of Administration Coordinator is based at Amelie House, Warwick St, a facility providing accommodation to women in Hobart experiencing or at risk of homelessness. The service operates 24/7 from early 2025 for a period of approximately two years. Reporting to the House Manager, the Administration Coordinator will assist in providing a safe and supportive service, encouraging residents on a path towards independence and longer‑term housing. The role will be the first point of contact for residents, staff, members, volunteers, other service providers and referral agencies, plus the general public. Contact may be over the phone or in person, and the role will focus on ensuring prompt assistance is delivered in a manner that is tailored to the needs of each cohort. The Administration Coordinator is responsible for document control and management, including resident information, room allocations, intake bookings, and calculating resident fees and charges. Playing a key role in ensuring the smooth functioning of the House, the Administration Coordinator is responsible for the accurate and detailed maintenance of administration systems and their contents, staff rosters and financial invoices. This role coordinates the front office reception while assisting the House Manager and Support Workers with a range of daily administration tasks. This role is offered full‑time, fixed‑term for an initial two‑year period. Strong analytical administration skills, showing attention to detail with the ability to plan, collaborate and prioritise. Experience in a front‑facing office, administration or similar role. Experience working with cohorts experiencing homelessness or in a social justice setting would be advantageous. Detailed knowledge and understanding of confidentiality and privacy principles. Exceptional written, oral communication and interpersonal skills, including effectively communicating with stakeholders from a diverse range of backgrounds and groups. Experience in creating meaningful stakeholder relationships. Demonstrated ability to adapt to changes in work priorities, styles and environment, recognising the need to be responsive in a context that can change rapidly. Exceptional time management skills and the ability to manage competing priorities. Sound administrative capacity and the ability to adapt to and learn new platforms quickly. Competent with MS Office suite of products. Previous experience with producing and managing rosters is preferred. Ability to communicate with a wide range of cohorts, displaying empathy and fairness in all interactions. This role is vital to the success of the new service, Amelie House.
