Job Opportunity: Receptionist & Property/Sales Administrator Wilson's Estate Agency is a medium to large real estate agency located in Woy Woy, dedicated to providing exceptional service in property management and sales. We are seeking a versatile, highly organised, and enthusiastic individual to be the welcoming face of our office while providing crucial administrative support to our property management and sales teams. What You’ll Do This is a diverse, fast-paced, and varied role perfect for someone who enjoys wearing multiple hats and being the central point of contact for the entire office. Key Responsibilities Office Reception & Administration Be the first point of contact for all clients, visitors, and calls, providing a warm and professional welcome. Manage the phones, direct calls efficiently, and handle general inquiries. Handle incoming and outgoing mail, manage office supplies, and keep the reception area and common spaces tidy and presentable. Assist with general administrative duties, filing, and data entry. Property Management Support Assist Property Managers with routine administrative tasks, including but not limited to processing applications, lease renewals, and maintenance requests. Coordinate access for tradespeople and schedule property inspections. Bank receipting and daily balancing. Maintain accurate tenant and landlord records. Prepare and send routine correspondence related to property management. Sales Assistant Administration Support the Sales Team by preparing contracts, listing documentation, and marketing materials (e.g., brochures, flyers). Coordinate appointments, settlements & key handovers. Update and maintain the Customer Relationship Management (CRM) system with sales leads and client information. Assist with the organisation of sales campaigns and follow‑up activities. About You Exceptional Communication: Outstanding phone manner and professional presentation. Highly Organised: Proven ability to multitask, prioritise, and manage time effectively in a busy environment. Proactive Attitude: A self‑starter who can work independently and anticipate the needs of the team. Tech Savvy: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning industry‑specific software (e.g., Rest Professional, PropertyMe). Experience: Previous experience in real estate administration, property management, or a high‑volume reception role is highly regarded.
