To support continued growth at the Maddington depot, we are recruiting a highly organised and proactive Office Manager to ensure smooth day-to-day administration, compliance and operational support. As Office Manager you will oversee office systems and administrative operations that support drivers, dispatch, fleet maintenance and client deliveries. You’ll coordinate documentation and records, support rostering and fatigue management processes, manage supplier and contractor relationships, and help maintain compliance with WHS and Chain of Responsibility obligations. This is a hands-on role working closely with Fleet/Operations management and drivers to keep the depot efficient and compliant. Key Responsibilities Manage day-to-day office functions including filing and office supplies to support an active transport depot. Maintain and control project and operational records: driver records, licences, permits, site induction records, delivery dockets, consignment notes and client documentation. Coordinate driver rostering, shift allocations and leave; ensure electronic work diaries / logbooks are recorded and elevate fatigue or compliance concerns to management. Support dispatch and operations teams by liaising with drivers, clients and site personnel on ETAs, delivery requirements and variation instructions. Administer fleet maintenance schedules and defect reporting: raise service orders, track repairs, schedule preventative maintenance and coordinate minor on-road repairs with mechanics/contractors. Oversee supplier and contractor relationships (tyres, fuel, parts, equipment hire) including purchase orders, goods receipting and invoices. Ensure compliance with WHS, Chain of Responsibility, fatigue management and company policies; coordinate site inductions, toolbox talks and training/admin records. Support HR administration: recruitment assistance, onboarding, inductions, timesheet and payroll data entry, and maintaining accurate personnel files. Assist with invoicing and basic accounts liaison (processing delivery dockets, preparing documentation for billing and liaising with accounts payable/receivable). Implement office procedures and continuous‑improvement initiatives to streamline admin workflows and handover processes. Qualifications & Experience Diploma or higher in Business Administration, Logistics, Transport Management, or a related discipline (or equivalent experience). Minimum 1 year in an Office Manager / senior administrative role — experience in transport, logistics, heavy haulage, mining services or depot operations highly regarded. Practical knowledge of Chain of Responsibility, fatigue management obligations and WHS requirements relevant to heavy vehicle operations. Solid MS Office skills (Excel proficiency essential) and experience producing operational reports and KPI dashboards. Skills & Attributes Excellent communication and stakeholder management skills — able to liaise effectively with drivers, site personnel, suppliers and senior management. Highly organized, strong attention to detail and accurate document control (permits, licences, POs, invoices). Ability to prioritise, multi‑task and meet deadlines in a busy operational environment. Proactive problem solver with sound judgement and the ability to work independently. You will be working closely with management, fleet supervisors and operational teams and will be expected to take initiative and lead administrative functions proactively.
