Under the Courts' case management pathway, SJRs and JRs (collectively, registrars) undertake the majority of front-end case management and interlocutory work which was previously undertaken by judges. In addition, they perform a significant proportion of dispute resolution events to resolve proceedings. CMs, LCMs and SJR Associates (collectively, registrar support staff) provide direct, one-on-one support to registrars in the case management of their family law caseload. This includes supporting registrars working on various specialist lists across the Courts, including but not limited to, the Evatt list and the National Contravention List. The Registrar Support Team Leader role is responsible for the daily oversight and management of registrar support staff in their registry, under a national management structure led by the Director – National Registrar Support. Registrar Support Team Leaders should be proactive, collaborative and possess great communication and leadership skills to ensure smooth and effective operations within their team and across the cohort. Registrar Support Team Leaders will work closely with the National Administrative Officer – Registrar Support and the Director – National Registrar Support to determine day-to-day allocations and report on the ongoing performance and management of CMs, LCMs and SJR Associates within their respective region. Key responsibilities and duties Registrar Support Team Leaders are primarily responsible for ensuring there are sufficient resources in the registrar support space, to safeguard the effective and efficient handling of family law matters by registrars under the Courts' case management pathway. Registrar Support Team Leaders will also have the following day-to-day responsibilities : Resourcing and coverage Manage ad hoc leave coverage and temporary allocations which include locally based and remote support arrangements, with a focus on ensuring registrar-led court and chambers events are operationally viable and effectively run. Develop and maintain relationships with other Registrar Support Team Leaders nationally and work collaboratively to manage broader leave coverage and longer-term allocations, as and when they arise. Regular reporting and communication with the Director – National Registrar Support with respect to general team performance and culture, using data driven analysis where required. Be responsive to requests from external and internal stakeholders regarding registrar support and elevate to Director as required. Recruitment and training Assist the Director – National Registrar Support and National Administrative Officer – Registrar Support with the recruitment, induction, on-boarding and training of new CMs, LCMs and SJR Associates nationally. Lead the induction, on-boarding and training of new CMs, LCMs and SJR Associates in their region and offer refresher training for existing registrar support staff, as required. Work with individual CMs, LCMs and SJR Associates to address any competency or training issues as instructed by the Director – National Registrar Support. Coordinate with IT to ensure all new starters have the necessary access to inboxes and shared drives. Liaise with P&C with respect to any general HR issues that arise for their registrar support cohort and elevate to the Director as required. Assist the Director – National Registrar Support and National Administrative Officer – Registrar Support with the ongoing training of CMs, LCMs and SJR Associates, including formulating training schedules, coordinating delivery, and preparing relevant materials. Assist the Director – National Registrar Support and National Administrative Officer – Registrar Support with ensuring all training resources are up-to-date and available to access on the relevant platforms. Management of local CMs, LCMs and SJR Associates Approve all leave and timesheets, and manage probation periods for CMs, LCMs and SJR Associates regionally. Develop and maintain relationships with Court users and respond efficiently to requests from key stakeholders with respect to the management of registrar support staff in their region. Facilitate one-on-one training and professional development opportunities for CMs, LCMs and SJR Associates, both locally and nationally, in conjunction with other Registrar Support Team Leaders. Conduct regular performance and well-being check-ins with each CM, LCM and SJR Associate in their local region, to monitor performance and enhance skill development. Understand the workload pressures of each individual chambers regionally, proactively anticipate the need for support and take initiative to arrange the additional resources. Regularly report on the performance and suitability of local CM, LCM and SJR Associates to the Director – National Registrar Support, to inform potential future career opportunities within the Courts. Maintain and update policies, processes and procedures Maintain comprehensive and accurate knowledge and expertise of the Courts' case management systems and internal chambers processes, including bench books, Registrars Hub and Chambers Hub as required. Provide information and advice relating to court services, procedures, processes, forms and rules and regulations to the registrar support cohort to ensure chambers is informed and operating in accordance with national guidelines. Registrar Support Team Leaders may be called on to provide ad-hoc legal and administrative support to local registrars when chambers are short-staffed or require additional support due to overall workload volume. This may involve drafting correspondence and preparing reports, managing the schedule of hearings, engaging with the Courts online databases, providing court officer support and assistance with registrar case management more broadly. Subject to operational requirements, Registrar Support Team Leaders may be asked to support registrars in other registries / regions and in managerial roles across other parts of the Courts' jurisdiction, such as migration law or general federal law. Candidates with relevant skills and experience may also be offered national operations and/or policy roles. Professional qualifications, competencies and attributes Tertiary qualifications in law or management are desirable, but not mandatory. Prior experience working in the Courts or a court environment would be advantageous. To undertake this role, the successful candidate will demonstrate : Exemplary communication, negotiation, interpersonal and relationship-building skills. Strong analytical, change management and operational skills, with a focus on achieving exceptional standards in service delivery for court users and the Courts. Exceptional attention to detail and accuracy in all written and oral communications. The ability to work both autonomously and collaboratively, including an aptitude for building and maintaining positive professional relationships and dealing with sensitive and confidential information appropriately. Substantial management knowledge and experience working within and leading teams in a variety of environments; and Sound knowledge or an ability to acquire such knowledge of court procedures, guidelines, policies and practices, including the internal case management, data and IT systems used by the Courts. Personally, they will be highly effective communicators and negotiators with the proven ability to lead, support and develop their local registrar support cohort within a national framework. Selection criteria Strong communication (oral and written) and liaison skills as well as the ability to effectively communicate with people at all levels. Ability to exercise tact and discretion, act impartially and maintain confidentiality at all times. Demonstrated leadership skills and management experience, ideally in a court or public service setting. Demonstrated organisational skills, including the ability to manage several processes at once, attention to detail, excellent time management skills, and planning and problem-solving skills. Demonstrated working knowledge or capability to quickly acquire a high-level working knowledge of key internal procedures, guidelines, policies and practices used in the Courts. Sound IT proficiency, including the use of videoconferencing platforms such as Microsoft Teams and Webex, and the ability to learn and adapt to new systems and technology quickly and efficiently. Demonstrated ability to work both autonomously and as a member of a geographically dispersed team with limited direction, and the ability to adapt to changing situations and priorities and participate in collective work practices.
