Document Collection Specialist – Overview Societates Civis Pty Ltd helps clients navigate citizenship and residency pathways around the world. To support our growth, a flexible, commission‑based Document Collection Specialist is needed to coordinate the gathering, translation, and notarisation of official documents for our clients. Countries Handled Croatia Italy Poland Greece Cyprus Argentina Paraguay Costa Rica Ireland Key Responsibilities Liaise with clients to understand document requirements and timelines. Collect required civil and legal records (e.g., birth, marriage, death certificates, court and migration records) from relevant authorities. Coordinate certified translations with accredited translators. Arrange notarisation, apostilles, and legalisation where required. Track the progress of documents and keep clients and internal team updated. Maintain accurate records and ensure all documents meet the standards of the relevant consulates/authorities. Qualifications Based in Sydney or Melbourne. Highly organised with strong attention to detail. Comfortable dealing with government offices, registries, consulates, and legal professionals. Strong written and verbal communication skills. Able to work independently, manage time, and handle multiple cases. Previous experience in migration, citizenship, visa services, legal, notary, paralegal work, translation coordination, or professional services admin is highly regarded (but not essential). Engagement & Remuneration Commission‑based / per‑job engagement (contractor‑style arrangement). Flexible hours and remote‑friendly, with occasional in‑person visits to registries, notaries, or consulates as required. Work volume will grow as the business scales.
