Our client is a global real estate services company known for providing exceptional facilities management, property management, and advisory services. We are seeking an admin assistant to join our client's dynamic team in the Melbourne CBD. This role offers the opportunity to work in a supportive environment with the potential for permanent employment after a successful 4-month probation period. As part of the Facilities Service team, you will report to the State Service Manager. Your main responsibilities will include, but are not limited to : Administration Understanding of the client's needs relating to the agreed contract. Ensure compliance with requirements and company policies. Maintain accurate records of contracts, amendments, and related documentation. Data entry Assist with invoicing Scheduling and Planning Develop and maintain schedules using scheduling software (Simpro) Coordinate with managers and stakeholders to understand requirements and deadlines. Identify and mitigate scheduling conflicts and risks. Monitor work progress and update schedules as needed to ensure timely completion in line with the clients' KPIs. Communication and Coordination Serve as a liaison between the client to facilitate communication and ensure alignment with contract requirements. Attend meetings and site visits related to contract administration and scheduling. Provide regular updates on job / task status and project schedules.
